Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Medical Records Coding Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.   • Purpose:

    Oversee the coordination and managing of patient health records functions for various clinical settings and specialty providers.


    Specific Duties and Responsibilities:

    The essential functions include, but are not limited to, the following:

    • Preparing patient charts and gathering information and documents from patients.
    • Ensuring that the medical records are organized, accurate and complete.
    • Creating digital copies of paperwork and storing the records electronically, as needed.
    • Issues medical files to entities or agencies in accordance and compliance with state laws and HIPAA regulations.
    • Monitors and assists in the preparation of departmental audits and reviews, by internal and or external entities.
    • Ensures patient charts, paperwork, and reports are completed in an accurate and timely manner.
    • Completes position and departmental duties, as assigned, including answering phones, responding to emails, and processing.
    • Follows the proper policies and procedures when handling subpoenas and other requests requiring special handling and review by compliance, legal, risk management, and another internal responsible stakeholder.
    • Safeguards patient records and ensures requests comply with HIPAA standards and regulations.
    • Responding to requests for medical records and processing letters and reports.
    • Retrieving patient schedules from computer system, distributing lab reports to physicians, and materials to other departments, as needed.
    • Photocopying records and documents for billing or legal services, sending and receiving information via fax machine, and answering phone calls.
    • Other duties and responsibilities as assigned by the department supervisor or manager.


    Knowledge, Skills and Abilities Required:

    • Experienced with Microsoft applications (Excel, Word, PowerPoint, etc.)
    • Firsthand experience in handling and processing medical records in a clinical setting.
    • Familiarity with medical terminology to support daily assigned responsibilities.
    • Able to multitask in a fast-paced working environment.
    • Excellent communication skills and attention to details required.
    • High level of responsibility and integrity in safe-guarding patient health information.
    • Proficient oral and written communication skills and telephone etiquette skills.
    • Strong Decision-making skills.
    • Excellent Critical thinking skills.
    • Excellent organizational and multi-tasking skills.


    Qualification Requirements:

    • 3-5 years’ experience in health information management setting or department.
    • Associate or bachelor’s degree in health information management.
    • RHIT, RHIA, CCS, CPC, and/or Medical Records Certification required.
    • Experience with Electronic Medical Records (EMR) and or Electronic Health Records (EHR) a must.
