Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Medical Records Coding Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     Summary:


    The manager is responsible for ensuring the accuracy of professional coding optimization, and correct coding on patient charts. The individual is responsible for the efficient, accurate and timely operations of professional coding. In addition, the manager provides effective leadership of staff and timely completion of department activities through exemplary communications skills. As a leader, assists in efforts to provide comprehensive medical and financial patient information to all internal and external users. Primary patient contact is only social. Demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.


    Responsibilities:


    Responsibilities Contributes to organization success targets for patient satisfaction. Contributes to the organization success targets for net operating margin. Develops and monitors the departmental budget and incorporates the financial information in the decision making process. Monitors workqueues, productivity reports. Monitors benchmarking data compared to other facilities to determine best practice. Monitors areas and opportunities that could hold up coding/billing and clinical decisions. Monitors Accounts Receivable (AR) that Pro Coding Manager is responsible for. Provides strategic leadership for area of responsibility so hospital and departmental goals are met. Responsible for timely completion of department activities in conjunction with other department managers. Collaborates effectively with other departmental managers to accomplish tasks in a professional and effective manner. Works effectively and respectfully with physicians and other partners to accomplish tasks. Effectively manages the staff in area of responsibility through communication, coaching, appraising, motivating, and staff development. Communicates openly within area of responsibility through use of key principles to persuade others to take action, resolve disagreements or conflicts and initiate change. Demonstrates excellent customer service Assure all communications via telephone, email, or in person are timely, tactful, effective, positive, and professional. When needed educating customers in what assistance we may provide. Demonstrates effective communication methods and skills, both verbally and in writing. Communicates through formal presentations or other communication activities, which contribute to solving problems or achieving work objectives i.e., reduce AR days, customer service, improve processes, workflows, etc. Assures adequate turnaround time for areas of responsibility including but not limited to, professional coding & charge entry. Performs, assists, and initiates special projects that may improve workflow both internally and interdepartmentally or organization wide. Responsible for ensuring the integrity of coding abiding by correct coding guidelines. Assures compliance with HFAP/ACHC and other regulatory agencies. Maintains current knowledge of the industry and area of responsibility. Responsible for acquiring continuing education credits in pertinent areas and maintaining credentials as an RHIA, RHIT, RN, etc. Responsible for staff evaluations, hiring, disciple, evaluations, and if necessary, termination. Performs other duties as assigned. Maintains activity in appropriate professional associations. Assures that HIPAA privacy and security rules mandated by state and federal rules and Hospital and departmental policies are followed to protect patient information.

Show flexibility and willingness to adapt to change. Ability to reprioritize work as needed. Demonstrates knowledge of leadership development. Must demonstrate confidentiality and trustworthiness, etc. Must have literacy in Windows, Word Processing (Word), Excel, and Power Point programs. Projects a positive, enthusiastic, energetic, and professional appearance. Required – Bachelor’s degree. Consideration given to candidates willing to commit to completion over a specified time frame. Required – RHIA, RHIT, CPC, CPMA credentials. Preferred – One year or more of management experience and one or more years of professional coding experience. KNOWLEDGE/SKILLS/ABILITIES Demonstrates effective communication methods and skills, both verbally and in writing. Uses appropriate organization/priority setting skills to complete work timely and accurately. Practices effective problem identification and resolution skills as a method of sound decision making. Show flexibility and willingness to adapt to change. Ability to reprioritize work as needed. Demonstrates knowledge of leadership development. Must demonstrate confidentiality and trustworthiness, etc. Must have literacy in Windows, Word Processing (Word), Excel, and Power Point programs. Required – RHIA/RHIT, CPC, CPMA credentials. WORKING CONDITIONS/PHYSICAL DEMANDS Ability to maintain punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards. Constant lifting up to 10 lbs. Constant sitting, feeling, talking, hearing, near vision, midrange vision and far vision. Frequent twisting, reaching, depth perception, color vision and field of vision. Occasional lifting up to 100 lbs. Occasional standing, walking, lifting, carrying, pushing, pulling, climbing, balancing, stooping, kneeling, crouching, squatting and crawling.
