Medical Records Director directs medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Develops policies and procedures and conducts continuous improvement activities to ensure effective and compliant record management. Being a Medical Records Director implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Director coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. May require Registered Health Information Administrator (RHIA) certification. Typically reports to a director. The Medical Records Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Medical Records Director typically requires 3+ years of managerial experience. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     The Medical Records Coordinator maintains medical records in accordance with federal and state guidelines, according to established policies and procedures, ensuring that a complete medical record is maintained.

    Responsibilities

    • Ensures quality care and that resident rights are respected at all times and practices the philosophy and standards of the California Department of Health Services.
    • Assists with admission and discharge coordination
    • Collects, assembles, and audits patient/resident charts for content, completeness and adherence to state and federal regulations
    • Collects and assembles/compiles records for committee review, as requested, and prepares reports for staff/other committees as directed
    • Abstracts information from records as authorized/required for insurance companies, Medicare, etc. and indexes medical records as directed by the medical Records Consultant or DON
    • Mails face sheets of all discharged residents to corporate office, establishes and maintains patient/resident master card file, and enters all resident admission information, physician orders, medications, and discharge information into the computer
    • Participates in meetings as necessary and performs any other duties as assigned by the Director of Nursing.

    Knowledge, Skills, and Abilities

    • Ability to read, speak well, and be understood in the English language
    • Able to demonstrate ability to communicate effectively with staff, colleagues and supervisors
    • Must have attention to detail, follow through, and good interpersonal/problem solving ability
    • Computer literacy
    • Good understanding of long term care, MDS software, Medicare, Title 22, and OBRA regulation

    Education and Qualifications

    • High School Diploma or equivalent
    • One year experience working in Medical Records in a long term care or acute hospital setting preferred

    • Current CPR and First Aid certification
