Medical Records Manager manages medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Manager implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Manager coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require a bachelor's degree. May require Registered Health Information Administrator (RHIA) certification. Typically reports to a director. The Medical Records Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Medical Records Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     MUST HAVE WORKED IN MEDICAL RECORDS

    Type: Full-time

    Reports To: Director of Nursing

    Responsibilities:

    • Assist in organizing, planning and directing the medical records department in accordance with established policies and procedures.
    • Retrieve resident records (manually/electronically). Deliver as necessary.
    • Files information such as nurses’ notes, resident assessments, progress notes, laboratory reports, x-ray results, correspondence, etc., into resident charts.
    • Ensure incomplete records/charts are returned to appropriate departments or personnel for correction.
    • Assist in developing procedures to ensure resident records are properly completed, assembled, coded, signed, indexed, etc., before filing.
    • Establish a procedure to ensure resident charts/records do not leave the medical records room except as authorized in our policies and procedures.
    • Maintain a record of authorized information released from charts/records, i.e., type information, name of recipient, date, department, etc.
    • Abstract information from records as authorized/required for insurance companies, Medicare, VA, etc. in accordance with current Privacy Rules.
    • Answer telephone inquiries concerning medical records function.
    • Prepare written correspondence as necessary.
    • Retrieve medical records when requested by authorized personnel (i.e., physicians, nurses, government agencies and personnel, etc.)
    • Assure that medical records taken from the department are signed out and signed in upon return to the department.
    • File active and inactive records in accordance with established policies.
    • Perform secretarial duties for the committees of the facility as directed.
    • Maintain the confidentiality of all resident care information including protected health information.
    • Serves as HIPPA Officer for facility
    • Assist MDS Coordinator in collecting M.D. signatures for percent for Medicare upon admission and re-admission
    • Works closely with billing-therapy-to assume ICD-9- coding is complete
    • Provides resident information to the business office regarding Medicare part A and B billing and 70% veterans.
    • Participates in U.R. meeting department Head Meetings, and Quality Assurance Committee
    • Run errands that may include travel to hospitals, physician offices, banks, and post office
    • Maintains current monthly physician visit data

    Qualifications:

    • Must possess, as a minimum a high school diploma or GED.
    • Must have the ability to set priorities, organize workload, and function independently
    • Knowledgeable of medical terminology.

    Job Type: Full-time

    Pay: $14.94 - $19.57 per hour
