Medical Records Research Coordinator is responsible for organizing and overseeing the record keeping activities pertaining to releasing and retrieving medical records for research projects. Ensures all medical records are tracked and released according to HIPAA guidelines. Being a Medical Records Research Coordinator may require an associate degree or its equivalent. Under the supervision of the Associate Registrar, this position performs a variety of technical and customer service tasks in support of the Registrar’s Office. The work is highly detailed, requires teamwork, problem-solving skills, diplomacy, and the ability to work independently to manage the technical aspects of the role. Interpretation, implementation, and explanation of Montana State University Billings and Montana University System policies, procedures, and academic requirements is fundamental for the person in this role. Personal initiative and judgement is essential as this role deals with a large volume of specific, time-sensitive, highly confidential and restricted academic, financial and student information.
This position has several key responsibilities:
1) Evaluating incoming transfer credits for applicability to degree programs which includes quality attention to all processes related to receipt of transcripts, tracking, totaling, imaging, evaluating (previous degrees, accreditation, and transfer credits), auditing, and posting.
2) Operation of the campus university identification card services as well as manage all accounting functions (travel, credit card reconciliation, ordering, and basic budget details) for the office.
3) Front-line student service support with walk-in customers, email and phone customer service, including forms receipt, processing, and electronic archival imaging.
This position is responsible for understanding records systems, integration and interplay with admissions, graduate studies, financial aid, advising, housing, dining, and student accounts and collaborating accordingly.
