POSITION: Medical Records Clerk
SCHEDULE: Full-Time 40 Hours Per Week Monday through Friday
FACILITY: Nueces County Jail
LOCATION: Corpus Christi, TX

POSITION SUMMARY
The Medical Records Clerk is responsible and accountable for the maintenance of health records. In this capacity, the employee organizes and maintains a system of health files and logs concerning patient diagnosis, treatments, admissions, discharges and daily patient census changes. The employee is expected to exercise good judgment and confidentiality, and function independently.
DUTIES/RESPONSIBILITIES
- Maintain a system and update facility health status requirements for inmate physical, laboratory, PPD, etc.
- File loose documentation generated from inside and outside institutions, such as: laboratory reports, radiology results, completed consultation reports, progress notes, etc.
- Ensure the security and confidentiality of all medical records information
- Retrieve medical charts for all healthcare staff or clinics, as requested
- Validate forms for the releases of information are current, accurate and complete as defined by HIPAA.
- Retrieve, deliver, and file health records daily as needed.
- File daily all currently used medical records to ensure ease of availability.
- Check to ensure that health files are complete (contains all necessary documents), with all loose notes properly secured, and in the correct sections.
- Ensure that the guidelines for hardcopy clinical entries are met at all times (use of hardcopy when Electronic Health Records is not available).
- Release information at the direction of the Health Services Administrator or designee. Refer any requests of a questionable nature to supervisor.
- Assist Health Services Administrator in preparing periodic statistical reports and other management information system requirements. Maintain logs for appropriate medical unit onsite staff.
- Answer telephone, relay messages and transfer calls as appropriate.
- Perform clerical/technical duties including typing and distributing letters, reports and memos.
- Maintain a roster of appointment book based on scheduled appointments for both on and off-site appointment.
- Maintain cabinets and shelves used for supporting the health files
- Understand State, facility and company policies, procedures and protocols as relate to the medical records department. Meet timelines as relates to death records, released inmate’s health records and case management, departmental productivity guidelines.
- Makes suggestions for improving work conditions to the HSA.
JOB REQUIREMENTS
LICENSING: None required
CERTIFICATION: Current CPR Certification
EDUCATION: High School diploma or GED equivalent required.
PREFERRED EXPERIENCE: Minimum one (1) year medical record experience; correctional experience a plus
