Medical Records Supervisor supervises routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Supervisor implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Supervisor coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require an associate degree. Typically requires Registered Health Information Technician (RHIT). Typically reports to a manager. The Medical Records Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be a Medical Records Supervisor typically requires 3 years experience in the related area as an individual contributor. We have 15 providers, and are a high volume family practice clinic, seeking a full-time experienced Business Office Supervisor to oversee daily operations of our billing, coding and medical records teams.

    Job Summary:

    We are seeking a highly organized and detail-oriented supervisor to lead 14 to 16 employees in our Billing, Coding and Medical Records departments in daily operations, goal setting and process improvement. As a member of the clinic leadership team, this position will work collaboratively with other departments and leaders to ensure overall clinic success.

    Responsibilities:

    • Supervise and coordinate activities of direct reports
    • Assist in the recruitment and training of new office staff
    • Perform employee performance evaluations
    • Provide input into department budget decisions
    • Maintaining up-to-date expertise and knowledge of healthcare billing laws, rules, regulations and developments necessary for the organization to make informed business decisions.
    • Monitor and maintain office supplies inventory
    • Develop and implement office policies and procedures
    • Handle customer inquiries and complaints in a professional manner

    Requirements and Experience:

    • CPC Certified Coder required
    • Coding, billing and medical records experience preferred
    • Supervisory experience preferred
    • Strong managerial, leadership and medical business office skills
    • Thorough understanding of medical billing, collections, payment posting, adjustments and medical records
    • Experience with AthenaHealth or other EMRs preferred.
    • Ability to effectively communicate with various groups internally and externally – staff, peers, administrator, providers, patients, insurers etc
    • Excellent organizational skills, analytical skills, written/verbal skills, and strong computer skills.
