Medical Records Supervisor supervises routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Supervisor implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Supervisor coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require an associate degree. Typically requires Registered Health Information Technician (RHIT). Typically reports to a manager. The Medical Records Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be a Medical Records Supervisor typically requires 3 years experience in the related area as an individual contributor.     Position Summary:

    • This position is directly supervised by the Director of Nursing.
    • The Shift Supervisor is a Registered Nurse who is responsible for one shift.
    • Conducts shift operations for the Nursing Department.  This includes communicating resident care information to physicians, families and staff.
    • Overseeing the delivery of services and acting to achieve desired outcomes.
    • Coordinates closely with the Charge Nurse.
    • Must work well under stress or tight deadlines.
    • Must work well with supervisors, co-workers, patients/residents, family members and visitors.

    Position Duties/Responsibility:

    • Oversees the delivery of care given by the Nursing staff. Evaluates if department procedures are followed, if actions are appropriate for the resident’s needs and if resident’s needs have changed.
    • Responds to situations found needing improvement.  Uses Interaction Management Principles to direct and motivate performance improvements.  Can initiate actions removing a staff member from assigned work for the remainder of the shift, or longer, when she/he believes the health or well being of a resident(s) is at risk.
    • Receives Teamleader’s communications about resident’s health status changes.  Determines if consultation with physician or family is needed.
    • Communicates with families and physicians.  Receives treatment orders, writing out telephone orders.
    • Transfers orders to Medical Administration Records, Treatment Records, and to the Physician’s Orders.
    • Coordinates resident admissions that are planned or conducted during that shift.
    • Plans resident discharges.
    • Accompanies physicians on rounds.
    • Plans care of residents on their shift and assigns staff to meet these needs.
    • Observes and evaluates quality and effectiveness of care given by all personnel.
    • Initiates the nursing assessment on new admissions in the absence of the Director of Nursing.
    • Helps develop nursing care plans in cooperation with other personnel.
    • Responsible for execution of doctor’s orders.
    • Responsible for accompanying physicians on rounds.
    • Promotes interpersonal relationships.
    • Evaluates work performance of nursing personnel.
    • Makes out the work schedule for the shift and inputs any changes.
    • Assists in orientation of new employees.
    • Participates in in-service.
    • Conducts regular shift conferences to discuss items effecting care of the residents.
    • Assists in assessing and ordering of supplies.
    • On evening, night and week-end shifts responsible for all other department’s personnel in the absence of their supervisors.
    • Supervises activities that ensure a safe infection free environment such as cleaning equipment, labeling items in rooms, and catheter care.
    • Includes all duties found under the job description from their license category.
    • In the absence of the Director of Nursing, the 7-3:30 Shift Coordinator is delegated this authority.

    Essential Functions: 

    • The ability to maintain a California State nursing license and CPR certification.
    • The ability to stand and walk for prolong periods of time.
    • The ability to keyboard and use multiple computer programs.
    • The ability and knowledge to assist the Team Leaders to complete necessary task by the end of the shift.
    • The ability to muti-task and deal with problems or concerns when they arise.
    • The ability to be supervised.
    • The ability to work as a Team.
    • The ability to have positive personal interactions with staff, patients/residents and visitors.

    Position Qualifications: 

    • Education: Education necessary to obtain a California State nursing license.  
    • Experience: 6 months of Team Leader experience or supervisory experience within the last two  years.                     
    • Cert/License: Valid California state nursing license and CPR certification required from the American Heart Association.  
    • Skills/Ability: Demonstrates nursing technical knowledge and competence. Demonstrates quality of leadership or potential for development of same. Ability to establish effective working relationships with physicians, patients, supervisors, and fellow workers. Touch typing skills are required. Experience operating computer software is desirable.
