Medical Records Supervisor supervises routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Supervisor implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Supervisor coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require an associate degree. Typically requires Registered Health Information Technician (RHIT). Typically reports to a manager. The Medical Records Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be a Medical Records Supervisor typically requires 3 years experience in the related area as an individual contributor.     We Require

    Three years of direct work experience in records management
    High school or General Educational Development (GED) equivalent
    An equivalent combination of post-secondary education and/or job-related experience may substitute for the required education on a year-for-year basis

    We Also Value

    Three or more years of prior lead or supervisory experience preferred
    Bachelor’s degree in business, information technology, records management or Research
    Certified Records Manager (CRM), a Certified Information Professional (CIP) or an Information Governance Professional (IGP)
    Advanced knowledge and understanding of records management technology and principals
    Current knowledge of relevant legal industry practices
    Awareness and understanding of current records management technologies and accepted professional standards of records management

    Job Contributions

    Supervise assigned staff and manage personnel-related activities including hiring, terminations, performance management, and training
    Facilitate the operations of department programs and/or services, develop policies and/or procedures or areas of responsibility
    Research and respond to Public Records Requests, Legal Holds, and Notice of Claims (NOC)
    Act as the lead in the design and development of Records Management policies and procedures for both physical and electronic files
    Lead special projects and provide day-to-day direction and support to staff
    Develop and deliver training on all facets of records management and conduct departmental orientations
    Implement records management best practices and procedures in coordination with the records retention schedules with the intention of continuously improving the records management systems and technologies
    Lead the ongoing transition of physical to electronic records within the Department, provide support on retention, destruction, and file closing for all types of media
    Coordinate the file transfers, migrating of electronic files from databases to Electronic Document Management Systems (EDMS)

    Working Conditions

    The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
    Ability to lift 20-25 lbs. occasionally, 10-25 lbs. frequently, or up to 10 lbs. constantly
