Medical Records Supervisor supervises routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Supervisor implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Supervisor coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require an associate degree. Typically requires Registered Health Information Technician (RHIT). Typically reports to a manager. The primary function of this position is to register presenting patients on day of procedure, collect patient payments and
maintain accurate medical record files.
Essential Duties and Responsibilities include the following. Other duties may be assigned. Interact with patients and patient’s family presenting on day of procedure and assist with answering customer questions in a timely and courteous manner. Obtain all required information to perform registration of patients and enter into system. Obtain verifications for services and enter into system. Verify insurance information for billing purposes. Collect pre-procedure estimated patient responsibility and record collections. Post payments, complete deposit log, and prepare deposit. Compiles all documentation in order to fully complete patient medical records. Prints procedure notes and prepares data to be sent to ancillary facilities, such as anesthesia group and pathology. Performs collection, processing, filing, maintenance, storage, retrieval, and distribution of medical records according to facility policies and procedure. Assembles all charts for upcoming procedures adding registration forms to each. Respond to medical record requests. Assists and backs up other business office positions as needed. Answers telephone, questions, and returns calls in a courteous timely manner. Performs additional duties as assigned or requested.
Computer Skills:
To perform this job successfully, an individual should be proficient at working with computers, including Google Sheets and Good Documents. Experience working with patient financial systems, specifically ASC patient financial systems (e.i., HST, Provation, EPIC) preferred.
Education/Experience: High school diploma or GED certificate. Minimum of 1 year customer service required. Knowledge of computers and other standard office equipment required. Surgery center/hospital/medical office experience preferred.
This is a part-time position with flex hours between 16-24. Applicant must be able to work as early as 6 am but no later than 4 pm.
