Performs quality audits of work. Additionally, Medical Records Technician maintains and up-to-date knowledge of coding and documentation requirements. Does not require a medical coding certification. Requires a high school diploma. Typically reports to a supervisor or manager. The Medical Records Technician works under the close direction of senior personnel in the functional area.     Your Specific Responsibilities:

    This is a technical position that involves medical records management, exercising independent judgment and initiative in the application of departmental operations. Incumbent is required to prioritize work on a daily basis and must meet time sensitive deadlines. Job responsibilities include:


    • Interpreting and applying federal and state laws pertaining to Release of Protected Health Information.
    • Responding to Release of Information requests, including legal, subpoenas, disability determination and all client requests both incoming and outgoing within an established 7-10-day response time.
    • Answering telephone inquiries related to Release of Information and Medical Records in general and provides responses to internal and external clients, while providing excellent customer service. Works with local legal counsel to ensure an accurate and timely response to legal requests for medical records.
    • Utilizes databases to track release of information transactions.
    • When necessary, serves as a witness in court proceedings as a Designated Medical Records Custodian.
    • Provides Release of Information Training to new staff.
    • Sorts and distributes all Medical Records mail.
    • Receives, opens, sorts, date stamps and checks documents for accuracy prior to scanning and identifies poor originals/errors and acts within scope of responsibility or brings to the attention of the supervisor if needed.
    • Scans and imports documents to the electronic health record according to established naming conventions. Monitors own work to ensure that documents have been accurately scanned and imported. Documents in HMS Progress Notes as needed to identify record errors/deletions to imported documents. Also uses HMS Progress Notes to send documents for review to the appropriate provider.
    • Monitors fax machines to ensure that all faxes are received/sent promptly.
    • Serves as a medical records department team leader in the absence of the supervisor.

    Required Knowledge, Skills, and Abilities:

    • Ability to plan, organize and coordinate work assignments
    • Ability to establish and maintain working relationship with others
    • Skill in use of personal computer
    • Ability to communicate effectively, verbally and in writing
    • Ability to prepare accurate reports and correspondence
    • Ability to prioritize work
    • Ability to use scanning equipment proficiently.
    • Ability to self-monitor work for accuracy and maximum productivity.
    • Knowledge of federal and state laws governing release of Protected Health Information

    Qualifications:

    Minimum

    • Current Department of Health Employee
    • At least 2 years’ experience working with computers
    • At least one year experience using office equipment such as copy and fax machines
    • At least on year experience working in a customer service position

    Preferred

    • Experience processing requests for copies of medical records
    • Experience working with electronic medical records
