Medical Records Transcription Supervisor supervises daily activities of the medical transcription department to optimize productivity. Assigns, schedules and oversees the work of the transcription area of the department. Being a Medical Records Transcription Supervisor ensures that physician's dictations are completed correctly and promptly. May perform transcriptions as needed. Additionally, Medical Records Transcription Supervisor may require an associate degree or its equivalent. Typically reports to a manager or head of a unit/department. May require Certified Medical Transcriptionist (CMT). The Medical Records Transcription Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Thorough knowledge of department processes.     Emerald Coast Behavioral Hospital provides inpatient treatment services to children, adolescents and adults at our 86-bed facility in Panama City, FL and outpatient services to adolescents and adults at our three outpatient centers located throughout the Florida Panhandle.  Additionally, we offer specialized treatment for active duty military members through our Military Resiliency Program, specialized chemical dependency treatment and TMS therapy for chronic depression.

    The HIM Specialist assures that records are kept confidential, secure, current, authenticated, legible, and complete. Records and informational content must be safeguarded against loss, defacement, and tampering, as well as from use by unauthorized individuals. Provide services necessary for prompt retrieval of information, both clinical (diagnosis codes) and statistical (admissions, etc.). Provide for transcription of clinical dictation and utilization review for third party payors. Oversees release of information within state and federal confidentiality guidelines. Codes diagnoses and procedures as appropriate using ICD-10-CM coding system after patient discharge, as assigned. 

     

    Job Duties/Responsibilities:

    • Assemble medical record according to hospital guidelines and places assembled chart in properly labeled folder. Analyze medical records for documentation deficiencies at the time of discharge.  Maintain incomplete record files and retrieves chart for physician completion. Rework incomplete charts after physician completion.
    • Process and file loose sheets in patient medical records according to standard policy and procedure
    • Process release of information as appropriate in response to requests including but not limited to patient’s, healthcare entities, legal agencies, etc. according to standard hospital policy and procedure and HIPAA requirements.
    • Code diagnoses and procedures as appropriate using ICD-10-CM coding system after patient discharge, as assigned.

    Qualifications

    Requirements:

    • High School Diploma or equivalency required. Associates Degree or higher in related filed preferred.
    • RHIT, RHIA, CCS, CIC or CPC certification preferred. 
    • One (1) year experience in HIM preferred. Internship or current enrollment in a related curriculum may be substituted.
    • Ability to work a Monday-Froday, 8a - 4:30pm schedule.  .
