Medical Records Transcription Supervisor supervises daily activities of the medical transcription department to optimize productivity. Assigns, schedules and oversees the work of the transcription area of the department. Being a Medical Records Transcription Supervisor ensures that physician's dictations are completed correctly and promptly. May perform transcriptions as needed. Additionally, Medical Records Transcription Supervisor may require an associate degree or its equivalent. Typically reports to a manager or head of a unit/department. May require Certified Medical Transcriptionist (CMT). The Medical Records Transcription Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Thorough knowledge of department processes.     Medical Records Coordinator Position Summary:

    Maintain residents’ medical records in accordance with facility policies and with state and federal regulations.

    Responsibilities of the Medical Records Coordinator:

    • Organize and maintain facility medical records system in compliance with corporate, state and federal regulations.
    • Code and quantify records from admission to discharge.
    • Maintain a documented, organized system, which is readily accessible by other authorized professionals.
    • Ensure that all reports are completed within established time frames.
    • Maintain the resident census on a daily basis.
    • Maintain a current list of each physician’s residents and send to the physician quarterly.
    • Pull charts for physicians’ rounds each week and ensure that documentation is present.
    • Monitor Restraint and Bowel & Bladder Programs to insure documentation is present.
    • Audit MAR and Treatment Sheets weekly.
    • File lab and x-ray reports on charts daily.
    • Review physician orders (including telephone orders) and monitor to be sure that lab, x-ray, diagnostic tests, consultations, etc., have been scheduled and followed through.

    Requirements of the Medical Records Coordinator:

    • High school diploma or GED required, or equivalent related work experience.
    • One (1) to three (3) years related experience, preferred.
    • Practical knowledge of medical terminology and record keeping.
    • Strong attention to detail and accuracy and excellent organizational skills.
