Medical Records Transcription Supervisor supervises daily activities of the medical transcription department to optimize productivity. Assigns, schedules and oversees the work of the transcription area of the department. Being a Medical Records Transcription Supervisor ensures that physician's dictations are completed correctly and promptly. May perform transcriptions as needed. Additionally, Medical Records Transcription Supervisor may require an associate degree or its equivalent. Typically reports to a manager or head of a unit/department. May require Certified Medical Transcriptionist (CMT). The Medical Records Transcription Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Thorough knowledge of department processes.     In this position, you will be an important member of the Nationally Accredited C.R. Wood Cancer Center by gathering medical records pertaining to incoming and outgoing referrals, as well as preparing electronic charts for upcoming clinic scheduling. Your work will help ensure that our team can continue to provide exceptional preventative care and clinically advanced treatments to patients while also balancing the realities of their daily life with personalized treatment plans built on compassion and expertise.

    You will closely support this team by working with insurance companies, patient assistance programs, and patients to address financing care, which could include prior authorization for specific tests required for their treatment. You will help to improve the overall patient experience by addressing any questions/concerns that patients, their families, or fellow employees may have related to Medical Records Management.

    How You Will Fulfill Your Potential

    Responsibilities

    • Code patient medical records for International Statistical Classification of Diseases information for all sites and enter data into system
    • Collaborate with the with Finance department to resolve hold bills related to missing codes/modifiers
    • Respond to internal and external requests for records and health information in a timely manner
    • Track requests and maintain billing records for copies
    • Send treatment and discharge notes to physician offices as indicated by regulations or requested by clinician
    • Request/track prescription and plan of care needs. Follows up with physician offices as necessary
    • Manage medical records professionally by:
    • Working with clerical staff to ensure records are prepared for clinic visits
    • Maintaining record order and “files loose” reports
    • Monitoring record completion at multiple points including at time of discharge
    • Acting with compliance and continuous improvement strategies
    • Taking ownership of the file purging process in its entirety as appropriate
    Qualifications

    Education/Accredited Programs
    • High school diploma/GED equivalent required
    • Successful completion of an AAS in health administration, business, finance, or related field preferred

    Experience/Abilities

    • 1 year of experience in a healthcare environment required
    • Baseline knowledge of medical terminology required
    • Knowledge of some anatomy/physiology preferred
    • Excellent computer, phone and customer service skills required
    • Excellent written and verbal communication skills required
    • Ability to problem solve/trouble shoot issues as they arise

    Salary Range
    The expected base rate for this Glens Falls, New York, United States-based position is $17.25 to $27.27 per hour. Exact rate is determined on a case-by-case basis commensurate with experience level, as well as education and certifications pertaining to each position which may be above the listed job requirements.
