Meeting/Event Assistant plans and organizes live or virtual meetings and events for an organization or external clients. Implements an event strategy to achieve objectives. Being a Meeting/Event Assistant researches and recommends event venues. Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology. Additionally, Meeting/Event Assistant conducts rehearsals and system checks of all equipment and connectivity. Establishes relationships with vendors for event support services. Coordinates budget planning and ensures that events stay within cost projections. May assist more senior event planners in planning larger or more complex events. Typically requires a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Meeting/Event Assistant work is closely managed.     Job Summary/Basic Function
    The Access & Diversity Peer Assistant is responsible for providing service to students and guests by preparing them to meet with Advisors, answering questions about services, opportunities and other student needs, and providing support with processes like FAFSA, applications, forms, etc. Peer Assistants also represent A&D on and off campus events as needed. Peer Assistants serve as a personal resource for students.

    Job Duties:

    Equity in Access student support duties, such as:
    • Working with students one on one to address their concerns
    • Assist students with service that they may need assistance with
    • Answering questions about services, opportunities or needs
    • Refer students to appropriate Weber State services or departments when applicable
    • Following up on student concerns
    • Set appointments for Advisors when students want to meet with them
    Outreach duties such as:
    • Staffing E in A booths at events when necessary
    • Calling students to follow up on questions, appointments, etc.
    • Create small posters and handouts when necessary

    Clerical duties for Equity in Access such as:
    • Answer Phones
    • Schedule Appointments via Gmail calendar or Starfish (CME)
    • Make copies, scans, prints of documents for staff
    • Fax documents to appropriate personnel when requested
    • Check in with supervisor at beginning of shift to receive tasks or updated information.
    and any additional duties assigned
    Leadership development such as:
    • Attend regular meetings and trainings when scheduled by supervisor
    • Attend university training when appropriate (Peer Mentor training, financial aid, student
    support training, etc.)
    • Assist with planning and executing of events and programs
    and any additional duties assigned

    Required Qualifications
    • Undergraduate student working towards their first degree

    • Enrolled full time (12 credits or more) or part-time (6 credits or more)

    • 2.0 GPA or higher

    • FAFSA: Federal Work-Study preferred.

    • Must work well with persons of diverse racial, ethnic, gender, cultural and socioeconomic backgrounds, and with individuals who are differently-abled.

    • Use of email and calendar for communication and organizational purposes

    • Microsoft Office Suite (Excel, Word, Access, PPT)

    • Interpersonal and communication skills

    • Customer service and interpersonal skills will be continually developed to better serve students and staff.
