Meeting/Event Planner plans and organizes live or virtual meetings and events for an organization or external clients. Implements an event strategy to achieve objectives. Being a Meeting/Event Planner researches and recommends event venues. Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology. Additionally, Meeting/Event Planner conducts rehearsals and system checks of all equipment and connectivity. Researches and maintains relationships with vendors for event support services. Coordinates budget planning and ensures that events stay within cost projections. Typically requires a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Meeting/Event Planner occasionally directed in several aspects of the work. Gaining exposure to some of the complex tasks within the job function.     Responsibilities:
    This position will report to the Facilities Administration Manager and will help lead efforts related to planning out the future spatial requirements and improvements to agency facilities and infrastructure.

    Through the lens of sustainability, and endorsing modern clean building standards, this position covers a broad spectrum of problem-solving and creative solution development dealing with facility spatial requirements, leasing, and facility budget development. This is a senior-level position for determining spatial requirements, including long-range forecasts, preparing budget estimates for facilities planning including leased and constructed space, meeting state standards for spatial allocation, and capital budget acquisitions. Key responsibilities of the position include but are not limited to:

    • Work with agency stakeholders across the state to determine future spatial requirements and then codify those needs into the agency’s Six-Year Plan.
    • Maintain the agency’s facility inventory.
    • Negotiate terms and conditions for lease projects or coordinate with the Department of Enterprise Services for the execution of lease projects.
    • Prepare cost estimates and develop budget decision packages for future projects.
    • Analyze data related to facility use, cost, and sustainability in order to develop recommendations for future actions.
    • Provide professional-level insight and expertise to facility-related projects related to construction, space use, and facilities infrastructure.
    • Identify value-added additions to the scope for projects that result in long-term sustainable benefits.

    Required Qualifications:

    • A bachelor's degree in architecture, engineering, business management, facility management, public administration, public planning, property and/or construction management, or a closely related field;

    OR a combination of education and/or experience in a field connected to facility space planning, leasing, and management.

    • Four (4) years of professional experience in governmental facilities planning/management, or professional experience in local, regional, or national facility planning/management in private industry. Military Operations planning is accepted as equivalent experience.
    • Demonstrated commitment to fostering and supporting an environment that honors diversity, equity, inclusion, and environmental justice practices.
    • Perform assigned duties in a manner consistent with applicable laws, regulations and public records retention and requests are followed.

    Job Type: Full-time

    Pay: $74,376.00 - $100,008.00 per year
