Member Records Administrator maintains the membership database for organization. Processes and inputs member enrollments and renewals to database. Being a Member Records Administrator performs periodic audits to ensure member records are up-to-date coded correctly. Resolves any member issues with enrollment. Additionally, Member Records Administrator designs and generates routine and ad-hoc reports for management review. Coordinates maintenance and upgrades to database software. May require a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Member Records Administrator work is closely managed. The Medical Records Manager maintains patient records containing all items required by State and Federal regulations. He/she provides records information for summaries and insurance reports, as may be required.
Job Duties and Responsibilities
1. Maintains accurate order of open charts.
2. Prepares closed charts.
3. Assumes responsibility for diagnostic admission and discharge coding index.
4. Ensures that all admission orders are signed by the attending physician in a timely manner.
5. Ensures all Medicare Certifications and Re-certifications are signed in a timely manner.
6. Notifies physicians in reference to compliance of customer visits and progress notes.
7. Communicates with pharmacy in reference to addition/deletion of customer MAR's, PDF's.
8. Assists nursing staff with monthly editing.
9. Maintains statistical data as directed.
10. Answers telephone inquiries and responds to correspondence.
11. Types and distributes advance notices and admissions, re-admissions, room changes, status changes, discharges, etc, to appropriate staff.
12. Obtains all appropriate departmental and physicians' signatures on discharge charts within 30 days of discharge.
