Membership Assistant responds to member inquiries regarding membership, educational programs, events, publications, billing, or other problems using a phone, e-mail, or chat format. Processes subscriptions, membership applications, or member data changes. Being a Membership Assistant directs members to the resources to answer questions or provide requested information. Documents inquiries and interactions using a ticketing or customer relationship management (CRM) system. Additionally, Membership Assistant may draft correspondence and promotional communications or conduct outreach calling to solicit new members or promote events. May require an associate degree or equivalent. Typically reports to a supervisor or manager. The Membership Assistant works under moderate supervision. POSITION SUMMARY:
This position supports the work of the historic Ohio State Reformatory (Reformatory), a nonprofit committed to preserving and restoring one of Ohio’s most treasured historic sites while educating the public about the history of the former institution. Directs all aspects of membership, including recruitment of new members, and retention of existing members. Develops, plans and implements new procedures and methods to achieve strategic goals.

ESSENTIAL FUNCTIONS:
1. Responsible for and monitors membership operations, including financial assistance, corporate memberships, third party payers and other discounted or subsided membership programs.
2. Develops, monitors and effectively forecasts program budget to meet fiscal objectives.
3. Establishes new membership activities, increases membership and member retention, and promotes the Reformatory within the community in accordance with strategic and operating plans.
4. Compiles membership statistics. Monitors and evaluates effectiveness of membership sales and retention efforts.
5. Develops and nurtures collaborative relationships with community businesses and organizations.
6. Actively participates in and supports the goals of the Reformatory through building relationships, engaging volunteers, and carrying out other assigned fund-raising duties.
7. Performs membership and member service desk duties as needed.
8. Conducts and maintains accurate membership records including Membership, member records, delinquencies, membership renewals, etc.
9. Maintains working knowledge of other areas of the Reformatory and provides responsive service to requests from members, program members and community partners of those other departments as well.
10. Assists in the marketing and distribution of program information. Ensures marketing materials comply with Reformatory branding guidelines and uses social media and newsletters to effectively tell the Reformatory story.
11. Attends trainings, seminars and conferences related to membership, including sales, prospecting, marketing and retention trainings.
12. Participates in staff meetings and/or related meetings.
13. Related duties as assigned.
REFORMATORY COMPETENCIES:
Mission Advancement: Models and teaches Reformatory values. Ensures a high level of service with a commitment to promoting the Reformatory’s history and restoration. Cultivates relationships to support membership activities and fund-raising.
Operational Effectiveness: Provides others with frameworks for making decisions. Conducts prototypes to support the launching of membership programs and activities. Develops and implements plans and manages best practices through engagement of the Directors.
QUALIFICATIONS:
1. Solid organizational, interpersonal and communication skills.
2. Minimum of two (2) years of experience in management and supervision preferred.
3. Previous customer service, sales or related experience.
4. Proficient knowledge of Computers and Microsoft Office software, including, WORD, EXCEL, PUBLISHER, POWERPOINT, etc.
5. Preferred emphasis on use of membership types of software.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
Pay Range: $35,000 - $45,000 (based on knowledge, skill, abilities and experience)
Fringe Benefits: Paid time-off to include: Vacation, sick time, personal time and bereavement leave.
