Job Summary:
We are seeking a detail-oriented and organized individual to join our team as a Community and Membership Coordinator. In this role, you will be responsible for managing membership records and providing administrative support to ensure the smooth operation of our organization.
The Isle of Wight Chamber of Commerce is in search of a Community and Membership Coordinator located in downtown Smithfield, VA. This part-time, 20-hour position will be responsible for a variety of activities related to Chamber members.
Responsibilities
Duties and Responsibilities
•Processing membership updates, new, renewals, and discontinued memberships.
•Handling occasional questions and information requests regarding membership.
•Inputting, maintaining and updating membership records
.•Collecting data and preparing monthly membership reports.
•Assisting with member events as needed. Communicating with members to inform them of upcoming advertising/sponsorship opportunities and ensuring that their contact/benefits are up to date.
.•Create and support member advertising opportunities
•Work with the President to craft and execute special projects throughout the year ie: 25 ‘On Isle Time’ campaign, Shop Small Saturday, etc.
•Updates and maintains Chamber website.
•Revising/creating Graphics/templates for Chamber Events (Canva)
•Social Media Management for all platforms including Facebook, Linkedin, and Instagram to build community engagement.
•E-mail marketing: Update (and occasionally create) e-newsletters to be sent weekly and monthly (Constant Contact).
Qualifications
High school diploma/GED or Bachelors degree
.•Excellent communication, writing, and customer service skills.
•Highly organized, attention to detail, ability to work independently and prioritize daily.
•Proficient in Microsoft Office and ability to learn other modern technological platforms.
•Problem-solving abilities to correct any challenges or inefficiencies to maintain optimal results. Self-motivated, ability to think creatively and take initiative.
•Organization and time management to manage multiple tasks, and occasionally multiple projects at once

Duties:
- Maintain accurate and up-to-date membership records, including contact information, payment details, and membership status
- Process new member applications and renewals
- Respond to member inquiries and provide exceptional customer service
- Coordinate member events, including scheduling, logistics, and communication
- Assist with the development and implementation of membership marketing strategies
- Prepare reports on membership statistics and trends
- Provide general administrative support such as filing, typing, and data entry
- Utilize QuickBooks to manage financial transactions related to memberships
Qualifications:
- Previous experience in an administrative or customer service role is preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent written and verbal communication skills
- Knowledge of phone etiquette and experience with phone systems
- Familiarity with calendar management software
- Experience in a medical office or similar environment is a plus
- Ability to work independently as well as part of a team
- Project coordination experience is desirable
