Processes subscriptions, membership applications, or member data changes. Being a Membership Assistant directs members to the resources to answer questions or provide requested information. Documents inquiries and interactions using a ticketing or customer relationship management (CRM) system. Additionally, Membership Assistant may draft correspondence and promotional communications or conduct outreach calling to solicit new members or promote events. May require an associate degree or equivalent. Typically reports to a supervisor or manager. The Membership Assistant works under moderate supervision.     Job Description Summary
    The Membership Assistant is part of the Campus Recreation team within the Division of Recreation and Intercollegiate Athletics serving a diverse University Community of over 40,000 people.

    The Membership Assistant provides administrative support to the Membership Office at the Pottruck Health and Fitness Center. This position is responsible for maintaining all membership functions including data entry, data reporting, sales, office projects, office inventory, and customer service. Will support marketing strategies and administrative projects. Position requires professional and courteous conduct to deliver excellent customer service. Receives direct administrative supervision and guidance from the Coordinator of Membership Operations.

    Job Responsibilities

    Provide customer service to our students, members, and guests by responding to emails, phones calls and in-person communication timely and professionally by assisting with the sales of membership, programs, services, events, and classes/courses.

    Support Penn Campus Recreation marketing plan strategies by organizing and scheduling social media post, producing marketing materials through print and digital graphics to be distributed physically or electronically, and assist with member or perspective member email and newsletter communication ensuring branding and content consistency across program areas.

    Assist with participation, membership, and sales reports from Fusion.

    Maintain the membership office appearance and function by organizing and inventorying office supplies. Request IT support for membership office hardware and software as needed.

    Manage projects and assignments of the membership office to meet the administrative needs of the Penn Campus Recreation professional staff.

    Other duties assigned.

    Qualifications

    High School Grad/GE Degree and 0 to 1 year of relevant customer service experience required. Must demonstrate ability of possessing strong verbal and written communication skills, and ability to handle multiple tasks simultaneously required. Must possess basic computer skills. If not proficient, successful applicant will be trained on Microsoft Office (Excel, Outlook, PowerPoint, Word), Fusion membership software, Sidearm website management, social media (Facebook, Instagram, Twitter) and Adobe Creative Suite/graphic design products. Work shift performed on-site (not remote), weekdays from 8:45 am - 5:15 pm with 30 minute lunch break (40 hrs/week).

    Preferred Qualifications:
    A Bachelor's degree and relevant customer service experience.
