    Position Summary

    MOXI seeks a Reservations Coordinator to play a critical role in advancing MOXI’s mission. This position will be responsible for coordinating the scheduling and sales of all education programs, including school field trips, group visits, camps, and public programs. The Reservations Coordinator will also be responsible for collecting and managing data across all education programs. The Reservations Coordinator will provide exemplary customer service while being able to clearly articulate and communicate the details of MOXI’s educational programs. The ideal candidate will possess sales and customer service experience, excellent oral and written communication skills, be comfortable with basic data management, and detail oriented. 

     Hours: Monday – Friday 8:30 AM - 3:00 PM (30 hours/week)  

     Report to: Associate Director of Education

    Pay Rate: $22-$25/hour

     

    Responsibilities

    • Book, schedule, and coordinate all Education program reservations payments, including school field trips, group visits, camps, and public programs. 
    • Serve as the primary point of contact and customer service liaison for Education transactions, responding in a timely and courteous manner, and supporting the transaction until the reservation or request is completed. 
    • Manage program communications, including confirmations, payment requests, follow-up surveys, etc.  
    • Track and process program payments and refunds. 
    • Greet and coordinate arriving field trip groups, including being present on the floor during group visits. 
    • Coordinate orientation materials and welcome talk for students and chaperones and train staff in group welcome processes.   
    • Confirm group numbers and process payment upon arrival. 
    • Manage internal education calendars, Altru records, and staff communications to appropriately allocate museum staff and resources. 
    • Maintain data and records using Altru, Excel, and Smart Sheets and provide ongoing status reports as required.  
    • Awareness of local school schedules, teacher feedback, and field trip administration for planning MOXI program calendar.  
    • Implement customer feedback surveys and evaluations and communicate results for use in future planning. 
    • Other duties as assigned.

    • Conscientious, detail-oriented, and highly organized; must have an appreciation of the necessity of following through with paperwork, record-keeping, and documentation.
    • Strong communication skills, both oral and written, including the ability to engage and welcome large groups of visitors.
    • Excellent interpersonal skills; must be receptive to the ideas of others and able to work cooperatively to prioritize tasks and accommodate many different and conflicting concerns. 
    • Ability to organize and prioritize varied tasks in a manner that most effectively serves the needs of the organization.
    • Passion for creating a world-class museum that is recognized as a truly outstanding educational experience.
    • Enthusiasm for working in an organization where change is frequent, the structure is evolving, and flexibility, teamwork, and good humor are absolute necessities. 
    • Proficiency in all Microsoft Office applications and ability to learn new systems and adapt to emerging technologies.
    • Awareness of issues relating to access and inclusion and the ability to build inclusive and accessible programs.
    • Knowledge of customer relationship management software (Altru or equivalent).
    • Spanish fluency preferred.
