Job Summary: We are seeking a highly organized and professional Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will have exceptional communication skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. This is a full-time position located at our office in . Duties: - Manage the CEO's calendar, schedule appointments, and coordinate meetings - Answer and screen phone calls, take messages, and respond to inquiries with professionalism and discretion - Prepare and edit correspondence, reports, presentations, and other documents - Transcribe meeting minutes and maintain accurate records - Coordinate travel arrangements, including flights, accommodations, and transportation - Greet visitors and direct them to the appropriate person or department - Assist with project coordination and follow-up on action items - Handle confidential information with utmost integrity and discretion - Perform general clerical duties such as filing, photocopying, scanning, and faxing - Manage office supplies inventory and place orders as needed - Assist with proofreading documents for grammar, punctuation, and formatting - Utilize software applications such as Outlook Calendar, DocuSign, Google Suite, etc., to facilitate efficient workflow Requirements: - Proven experience as an Executive Assistant or similar role supporting senior executives - Excellent phone etiquette and professional communication skills - Strong organizational skills with the ability to prioritize tasks effectively - Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) - Ability to transcribe accurately and efficiently - Familiarity with front desk operations and customer service principles - Experience with document management systems such as DocuSign is preferred - Knowledge of office management procedures and basic accounting principles is a plus - Exceptional attention to detail and accuracy in all work performed If you are a proactive individual who thrives in a fast-paced environment and can maintain confidentiality while managing multiple priorities, we would love to hear from you.
