    PURPOSE:

    Under the general supervision of the Associate Director of Engagement Applications in the Division of Information Technology, the incumbent is responsible for the Application Setup and Configuration, Business Process Management, Process Improvement, User Testing and Training, User Interface Setup, Review and Finalize Scope Documents, Documentation (Functional Specifications), Q/A Plan and Testing and Training for Information Technology (IT). This includes working independently on assigned tasks in close collaboration with other members of the IT team to address the specific needs of the University. Applications the incumbent would support applications such as Web Content Management systems, Customer Relationship Management systems, process and workflow management systems, and/or other information systems.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
    • Setup and configuration of enterprise applications. Focus on process automation and documentation with an emphasis on increasing efficiency and effectiveness of application setup and configuration, processes and workflows, and information architecture design.
    • Provide end user support with training, documentation, and user testing, Assists with application problems and troubleshooting. Escalates.
    • Documents, analyzes and evaluates business processes to ensure specifications and scope documents are complete and identify areas of improvement, especially around the user experience and accessibility.
    • Maintain reliable uptime/operations, security protocols, user permissions, license management, sandbox management and documentation. Coordinates and performs application upgrades, new or modified client installations, or modifications to the front-end user interface.
    • Collaborates with EAS and cross-functional/technical teams in requirements gathering, planning, user experience testing, coordination and implementation of new campus systems and projects.

    Other Functions:
    • May direct the tasks of student assistant(s).
    • Perform other job-related duties and special projects as assigned.

    KNOWLEDGE, SKILLS AND ABILITIES:

    Knowledge of applying standard theories, principles, practice, and techniques applicable to a university/higher education environment; operational analysis and techniques; excellent oral and written communications skills. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Experience in investigating and analyzing problems that have broad administrative impact and implications. Strong systems background as a user or functional developer. Experience in using spreadsheets, database query tools and word processing software applications at an advanced level; using/supporting campus core enterprise systems such as Web Content Management systems, Customer Relationship Management systems, process and workflow management systems, and/or other information systems. In addition, produce or retrofit content for accessibility, using tools such as Ally, MS Office and Adobe Acrobat documents, and audio and video transcription/captioning.

    Ability to: Research, develop and evaluate policies and programs, including skill in the collection, evaluation, interpretation of data to develop sound conclusions and make appropriate recommendations; quickly learn features of new software releases and modules, anticipate problems and address them proactively; analyze data requirements and research data availability; train/mentor others on systems skills and procedures, with the ability to communicate system/technical concepts and ideas to non-system/technical individuals; work as a team member; independently handle multiple work unit priorities and projects; establish and maintain cooperative working relationships within a diverse, multicultural environment.

    MINIMUM QUALIFICATIONS:

    Basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite. This foundation would normally be obtained through a bachelor's degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study. Working knowledge of desktop security, automated desktop management tools in an enterprise environment, common software application packages, equipment platforms, reference database systems and sources, and training methods and a basic understanding of networks, data communication, and multimedia systems.

    SPECIALIZED SKILLS:
    • Experience developing, administrating and analyzing user experience testing and user interface designs.
    • Experience with deploying/managing higher education enterprise applications that may include CRM, Security and POS, Content Management and Learning Management Systems.
    • Understand the workflow and process requirements of business units related to enterprise applications with process improvement.
    • Experience with data integrity, data quality, data migration and data maintenance. Project management skills and experience driving programs independently.

    PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

    Two (2) years of related experience. Technical fluency in website management, Salesforce administration, or other application administration.

    Technical fluency with Banner, Oracle/PeopleSoft, CSU Common Management System or equivalent (student/finance) information system; Microsoft Office Professional Suite, website management, Google workspace and other communication tools.

    • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University's liability coverage.
    • May require occasional evenings and/or weekend work.

    PHYSICAL ENVIRONMENT:

    Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
