Job Summary

We are seeking an adaptable and resourceful Executive Assistant to join our fast-paced startup environment to support our CEO part-time with ad hoc requests. This role goes beyond traditional EA duties and requires someone who can jump into various projects, execute follow-up tasks precisely, and foster meaningful connections with team members and external partners.

Responsibilities:

• Project Coordination: Take ownership of various business projects, from inception to completion, ensuring deadlines and goals are met.
• Communication Facilitation: Serve as a communication bridge between the executive and other team members, clients, and partners. This includes scheduling meetings, sending follow-up emails, and relaying important information.
• Relationship Building: Cultivate positive relationships with stakeholders by sending thoughtful gifts, follow-up notes, and maintaining regular communication.
• Calendar Management: Assist in managing the executive's calendar, prioritizing appointments, and coordinating meetings.
• Travel Logistics: Regularly assists in arranging travel plans, including flights, accommodations, and ground transportation, coordinating dinners, etc.
• Event Planning: Occasionally supports with planning various company offsites & events as needed.
• Task Follow-up: Execute follow-up tasks diligently, ensuring that action items are completed promptly and providing necessary support to team members.
• Administrative Support: Provide general administrative assistance, including organizing files, expense reports, data entry, and preparing documents and presentations as needed.
• Flexibility and Adaptability: Be willing to assist with various tasks and projects as they arise in a dynamic startup environment.

Qualifications:

• 2 years or more experience in a startup environment or similar fast-paced setting is highly desirable.
• Strong organizational and time management skills, with the ability to prioritize tasks effectively.
• Excellent communication skills, both written and verbal.
• Proficiency in productivity tools such as Google Workspace, Slack, and Asana (or similar).
• Proactive attitude with the ability to anticipate needs and take initiative.
• Ability to work independently and as part of a team, with a willingness to collaborate across departments.
• Flexibility to work in-person and remotely as required.

Compensation: $20-$25 hourly

Hours: Up to 29 hours weekly
