Community Health Centers is seeking an Operations Supervisor to join our team at our Riverside Avenue (Burlington) location. The Operations Supervisor is responsible for direct oversight and supervision of Patient Services Reps and other operational support functions within Practice Management. Provides a leadership role to front end and back-end support staff, including recruitment, personnel management, day to day supervision, guidance, mentoring and training. Works in collaboration with and in support of the site’s triad leadership team and serves as liaison between clinical and operational leadership and support staff.
Basic Qualifications- Minimum of high school diploma required.
- Minimum of 2 years direct Supervision
Knowledge, Skills & Abilities:
- Proficient in Outlook, Word, Excel, PowerPoint.
- Demonstrated ability to manage projects, facilitate group meetings and present information visually and verbally.
- Leadership skills and ability to manage day-to-day staffing and personnel issues including recruitment, supervision, performance management.
- Ability to motivate, develop and direct staff to promote a strong cohesive team.
- Excellent communication interpersonal and organizational skills.
- Ability to be a leader among the staff in regard to quality patient care, documentation, customer service.
Licensure, Certification or Other Requirements:
ESSENTIAL DUTIES
- Responsible for the oversight and day-to-day management of the Patient Services staff and other operational support staff as needed/required.
- Recruits, hires, and maintains adequate Patient Services/Support staffing.
- Responsible for developing daily, weekly, monthly schedules and ensuring adequate staffing to meet daily department needs.
- Supervises and evaluates daily work activities of PSR/Support staff to ensure appropriate distribution of workload.
- Manages per diem PSR staff and prioritizes organizational needs when assigning staff to different sites.
- Establishes and ensures adherence to scheduling guidelines, processes, and expectations to assure efficient patient flow for patient appointments.
- Provides staff with guidance in handling difficult or complex problems and in resolving complaints or disputes. Appropriately escalates disputes to the attention of the Practice Manager for further resolution as needed.
- Manages patient flow of check-in/out and waiting room conditions.
- Collaborates with Practice Manager to assist with the training of new staff and promotes and provides an environment of continuous learning for existing staff.
- Works closely with site Practice Manager to support department priorities.
- Collaborates with Practice Manager for conducting performance management activities including performance reviews, performance improvement plans.
- Collaborates with Practice Manager and conducts department meetings and communicates effectively with staff as appropriate/necessary.
