    Department Summary

    The Office of Academic Budget & Planning supports the Division of Academic Affairs in the areas of budget management, staffing, and space planning. Academic Budget and Planning effectively allocates resources to colleges and other academic units within the division of Academic Affairs in support of student learning and success and to support faculty and staff development and success.

    Job Summary

    Under the general direction of the Director of Academic Budget and Planning, the lead analyst in the Academic Budget & Planning department independently coordinates, organizes, analyzes the division budget and assists with multi-year financial projections for colleges and support areas. Ensures expenditures adhere to university and system-wide policies and procedures. Compiles the Division's resource allocations and the financial assessment of funds. This position provides day-to-day program and organizational support to administrative managers and department coordinators in various colleges and non-college units within the division. This position requires excellent communication and interpersonal skills as it is the liaison to Human resources, and Faculty Affairs for noncollege units within the division, as well as the liaison to Procurement, Accounts payable, Payroll, and outside vendors/contractors. These communications and interactions may include sensitive and confidential information.

    Responsibilities include, but is not limited to:
    • Assist the Director with division space planning including maintaining the division space inventory, development of forms, and processing of work orders relating to renovations, moves, and furniture planning.
    • Lead analyst in the Academic Budget & Planning department.
    • Primary contact for DACs requests Cost recovery plans, and CIA requests, and leads the annual property inventory.
    • Independently coordinates, organizes, analyzes the division budget and assists with multi-year financial projections for colleges and support areas.
    • Ensures expenditures adhere to university and system-wide policies and procedures. Compiles the Division's resource allocations and the financial assessment of funds.
    • Assists with Space planning and is the division liaison to Faculty Affairs, Human Resources, and various other units on campus.
    • Proficiency in MS Excel, Word and Outlook. Also HR information systems such as PS, PageUp, Cherwell and faculty additional pay reauthorization system.
    • Provides budget and administrative training, guidance and consultation to directors, AVPs, and administrative support.
    • Understanding of state laws, system guidelines, and campus policies and procedures and the ability to apply this information as well as provide guidance to others.
    • Oversee maintenance of the Academic Budget and Planning webs.
    • This position provides day-to-day program and organizational support to administrative services managers and department coordinators in various colleges and non-college division units.


    Employment Status: Full-time, Probationary, "Exempt" position (with the possibility of converting to permanent).

    Work Schedule

    Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

    Key Qualifications
    • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
    • Knowledge of and ability to apply fundamental concepts.
    • Demonstrated ability to establish and maintain effective working relationships within and outside the workgroup and serve as a liaison for the organizational unit, which requires strong communication and interpersonal skills.
    • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
    • Working knowledge of operational and fiscal analysis and techniques.
    • Working knowledge of budget policies and procedures.
    • Ability to take the initiative and independently plan, organize, coordinate, and perform work in various situations involving numerous and diverse demands.
    • Skill in the research, development, and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations
    • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
    • Ability to make independent decisions and exercise sound judgment.
    • Ability to train others on new skills and procedures and provide lead work direction.
    • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
    • Demonstrated expertise in and advanced knowledge of public and business administration principles, problems, methods, and operational and fiscal management.
    • Ability to work with representatives from public and private entities and handle potentially sensitive situations.
    • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.




    Education and Experience
    • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS four years of related experience.




    Preferred Qualifications
    • Master's degree preferred.
    • Experience in higher education environment.
    • Proficiency with IT systems such as PSHR, Data Warehouse, etc.




    Salary

    Anticipated Hiring Range: $6,000 - $6,500 per month

    Classification Salary Range: $4,693 - $8,489 per month
