    Job Summary

    We are in search of a dynamic, customer service-oriented self starter who thrives on multi-tasking, organizing, and getting things done! This position will be responsible for a variety of office administration functions, and under the direction of the HR/Office manager, will develop and coordinate procedures and office administrative systems to ensure staff have the tools they need to get their job done.     Responsibilities & Focus

    • Manage/prioritize workflow daily, ensuring that deadlines are met and work is completed accurately
    • Assist the HR/Office Manager with developing and maintaining effective administrative routines, protocols, and procedures
    • Track and maintain business accounts for software such as Google Suite, Slack, Docusign, etc, periodically reconciling and investigating charges
    • Manage building security software and employee access, in coordination with Facilities Manager
    • Route contracts and other documentation for signature electronically using Docusign
    • Respond to questions and requests for information
    • Responsible for maintenance of office equipment, including computers, copiers, phone system, etc.
    • Coordinating/organizing company-wide events
    • Coordinate office IT needs, including coordination with IT consultant, under direction of HR/Office Manager
    • Provide administrative support to HR/Office Manager including upkeep of employee records/filing and staff communication
    • Support CFO on varied projects that could include administering and tracking grants, drafting or reviewing contracts, etc.
    • Maintain office supplies by checking inventory and ordering items
    • Manage office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
    • Provide varied administrative support to other departments within the organization, as needed
    • Maintain strict confidentiality with regard to employee information
    • Maintain polite and professional communication via phone, email, and mail
    • Handle multiple projects as assigned
    • Handle sensitive information in a confidential manner
    • Perform other duties as assigned

    Qualifications & Skills

    • Ability to multi-task and prioritize in a fast-paced environment
    • Friendly, customer service-oriented personality with the ability to maintain composure under pressure
    • Possesses exceptional organizational skills
    • Ability to problem solve and troubleshoot issues as they arise
    • Exercises good judgment and possesses critical thinking skills
    • Ability to lead projects or function in a support role, as appropriate
    • Proficiency with common word processing and spreadsheet software
    • Excellent written and oral communication skills
    • Must have reliable transportation
    • Must be able to remain in a stationary position 50% of the time.

    Education / Experience

    • HS Diploma or equivalent, some college preferred
    • 2-4 years administrative support experience
