Executive Assistant
Triumph Youth Services is a residential treatment center with a fully accredited, non-profit Jr./Sr. High School, Triumph Academy. Triumph is team centered in all areas of the organization from administration to clinical treatment and education. The Executive Assistant to the President works closely with the executive, administrative and treatment teams on current goals. The position leads program accreditation and supports the President. The specific responsibilities include, but are not limited to the following:
Support President (65%)
- Manage paperwork to recruit and hire Employees and Independent Contractors
- Support recruiting process
- Handle correspondence
- Support President and Executive team with policy creation for PPM, employee handbook and employee guidelines binder
- Support quality control processes (including review of incident reports)
- Communication is extremely important
o Correspondence with all staff and notifications, including changes in policies & procedures
o Create and maintain checklists to support staff processes
o Attend Admin Team and Treatment Team Meetings
o Help Coordinate tours of facility with Admissions Director and ensure staff and facility are prepared
o Review Triumph Calendar Daily
- Market program – review website, brochures, attend conferences, etc.
- Other duties as assigned
Program (CARF) Accreditation (30% - 60% during accreditation years)
- Lead process for CARF accreditation and renewal
- Create, review and revise policies and procedures to fit CARF regulations with the Triumph program
- Coordinate with Executive Team ton process and changes for accreditation
- Liaise with CARF Resource Specialist and other external groups supporting accreditation
- Management correspondence concerning accreditation; both internal and external
- Review marketing materials to ensure compliance with accreditation
- Coordinate site survey for CARF accredation
- Maintain assurances that policies and practices are in line with CARF regulations as changes occur
General (5%)
- Support Administrative, Treatment and Executive Teams
- Maintain confidentiality of staff, students, etc.
- Other duties as assigned
Requirements
- Excellent communication skills
- Excellent customer service
- Ability to work independently within a team oriented organization
- BS degree or 5-7 years of experience in related field
- Intermediate or advanced level of MS Word and Excel
- Attention to detail
- Ability to maintain confidentiality of staff and clients
