WSVEF Grape Escape Event Coordinator

The White Salmon Valley Education Foundation (WSVEF) is seeking a Grape Escape Event Coordinator. This temporary, seasonal, stipend position will work closely with the Executive Director of WSVEF to plan and coordinate all aspects of the fundraiser, which will occur in late September or early October. The position will span the spring to fall months, with peak times occurring from mid to late summer until event date. This position is well suited for a highly organized self-starter with excellent administrative and community outreach skills.

The White Salmon community has a long history of supporting and valuing public education, and the WSVEF is committed to maintaining our positive collaboration with the school district and the community to secure funding sources that will enhance educational opportunities for all of our students. The WSVEF is a 501(c)(3) non-profit organization with a mission to enrich the educational opportunities for students in the White Salmon Valley public schools. Over the last thirteen years, through local fundraising efforts and grant writing, the WSVEF has contributed over three million dollars to our schools.

Scope of Work:

• Responsible for coordinating all aspects of the Grape Escape, the WSVEF’s main annual fundraising event (gala dinner).
• Work with event site to make sure all aspects of the event are planned for and executed.
• Manage event budget.
• Assist with recruitment and management of volunteers.
• Work with the Executive Director to determine timelines and action items.
• Work with designers, volunteers, etc to facilitate creation, printing, and distribution of invitations, programs, videos, slideshows, live performances, games, design, decorations, etc.
• Communicate as needed with event volunteers.
• Identify and communicate event night setup needs with the event site.
• Provide physical set-up help and direction, including day of run-of-show

Qualifications:

• Detail oriented, with strong computer skills, including document and spreadsheet preparation, email, and file management. Familiarity with MS Office and Adobe CC Suites preferred.
• Strong communication skills and the ability to work under tight deadlines.
• Experience coordinating events or teams, and ability to work with a wide range of people.
• Ability to manage multiple projects simultaneously and lead/organize a team of volunteers.
• Must be present date of event.
• Experience working with volunteers and/or community service projects is a plus.
• Enjoy working with others.

This opportunity is a temporary, seasonal position for an independent contractor and offers a $3,500 stipend at the completion of the project.
