We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. As a Secretary, you will play a crucial role in ensuring the smooth operation of our office by providing administrative support and maintaining efficient office procedures. The ideal candidate will have excellent organizational skills, strong communication abilities, and proficiency in various software applications. 7:30AM-3:30PM Monday-Friday
Responsibilities:
- Perform general office duties, such as answering phone calls, responding to emails, and managing correspondence
- Greet and assist visitors in a professional and friendly manner
- Maintain office supplies inventory and place orders when necessary
- Handle incoming and outgoing mail, including sorting and distributing
- Schedule appointments and maintain calendars for staff members
- Assist with data entry, record keeping, and file management
- Prepare documents, reports, and presentations as needed
- Provide support to other team members as required
Experience:
- Proven experience in office administration or related roles
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficiency in order entry systems and customer service software
- Familiarity with QuickBooks or other accounting software is a plus
- Previous experience as a medical receptionist is preferred but not required
- Excellent written and verbal communication skills
- Proficiency in using Google Suite (Docs, Sheets, Slides) for document creation and collaboration
- Knowledge of office management procedures and basic accounting principles is desirable
- Attention to detail and accuracy in data entry and proofreading
