We are seeking a Chinese/ English speaker, highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office. Duties:
- Provide administrative support to the therapists
- Answer and direct phone calls with professionalism and excellent phone etiquette
- Greet visitors and direct them appropriately
- Manage calendars, schedule appointments, and coordinate meetings
- Assist with document preparation, data entry, and filing
- Maintain office supplies inventory and place orders when necessary
- Handle incoming and outgoing mail and packages
- Perform general clerical duties such as photocopying, scanning, and faxing
Qualifications:
- Strong computer literacy skills, including proficiency in Google Suite (Docs, Sheets, Slides)
- Previous experience as a medical receptionist or in a similar administrative role is preferred
- Excellent phone etiquette and communication skills
- Ability to multitask and prioritize tasks effectively
- Strong attention to detail and accuracy in data entry
- Knowledge of basic administrative procedures and office equipment operation
- Experience with calendar management and scheduling appointments
- Familiarity with front desk operations in a dental or medical office is a plus
