Position Overview
The Office Manager is at the forefront of our daily operations, overseeing the administrative aspects of the practice. You will manage our registration and clinical team, routinely collaborating with our management team and other medical professionals to ensure the daily delivery of excellent urgent care medicine.
Responsibilities
➢ Supervise and lead the front desk staff, overseeing front desk activities and ensuring excellent customer service.
➢ Provide calendar management for administrative and clinical staff, coordinate and schedule meetings, appointments, and events.
➢ Answer telephone calls and ensure proper telephone etiquette is followed by team members.
➢ Supervise and provide guidance to office staff.
➢ Develop and implement relevant training for administrative and clinical team members.
➢ Ensure efficient patient flow to minimize customer wait time.
➢ Coordinate basic billing and coding processes with the central billing office, the revenue cycle management team, and the electronic health records (EHR) system.
➢ Be responsible for all aspects of physician credentialling.
➢ Manage office operations, including relevant patient billing and record keeping, to facilitate accurate and timely reimbursement.
➢ Help with in-house management of the EHR system and maintain patient information compliance.
➢ Interface with IT, telecom, and business machine vendors as needed.
➢ Oversee office supply and medical materials inventory, coordinating purchasing and restocking and ensuring efficient use of office resources and supplies.
➢ Maintain and organize office files and documents.
➢ Work with Human Resources staff to implement and maintain office policies and procedures to enhance operational efficiency.
➢ Oversee employee hiring and termination procedures.
➢ Work with other management team members to prepare and analyze key performance metrics.
➢ Handle consumer inquiries, concerns, and feedback to ensure an overall positive experience for patients and staff members.
➢ Work collaboratively with staff members to maintain a clean, comfortable, welcoming, and organized patient care environment.
Qualifications
➢ High School Diploma or GED required, college coursework or degree in healthcare administration, business management, or a related field preferred.
➢ Proven experience in medical office management or a related role.
