Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Office Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     Noble Building is a family-owned company specializing in the construction of Custom Built homes, additions, extensions, and remodels. We are looking for an organized and efficient Office Manager to join our team and help us continue to thrive.

    Key Responsibilities

    • Bookkeeping and Financial Management: Maintain accurate financial records, including accounts payable and receivable, payroll processing, bank reconciliations, and general ledger entries using QuickBooks.
    • Financial Reporting: Generate financial reports such as balance sheets, profit and loss statements, and cash flow statements. Provide regular financial updates to the management team.
    • Budgeting and Forecasting: Assist in the development and monitoring of budgets.
    • Collections of Accounts Receivable: Implement a standardized process for collecting payments from customers promptly and efficiently, ensuring financial stability and customer satisfaction.
    • Expense Tracking: Monitor and control expenses by reviewing and reconciling expense reports, verifying vendor invoices, and preparing cash flow reports.
    • Data Entry and Record Keeping: Accurately enter financial data into QuickBooks and maintain organized and up-to-date financial records and files.
    • Administrative and Logistics Support: Provide general administrative support, such as answering phone calls, responding to emails, scheduling appointments, receiving and picking up packages and materials, and assisting with office management tasks.
    • Software Maintenance: Stay updated with the latest QuickBooks features and updates. Troubleshoot and resolve any software-related issues or errors.
    • Communication and Collaboration: Collaborate with internal teams to gather necessary financial information and ensure effective communication regarding financial matters.
    • Facility Management: Maintain a well-organized, clean, and functional office space.
    • Compliance and Auditing: Assist in internal and external audits by providing necessary financial documentation and supporting the audit process.

    Requirements:

    • Bachelor's degree in business administration, management, or a related field (preferred).
    • Valid driver's license.
    • Proficiency in using Google Calendar, Microsoft Office (especially Excel), and QuickBooks software for bookkeeping and financial management.
    • Strong understanding of accounting principles and practices.
    • Excellent attention to detail and accuracy in data entry and financial record-keeping.
    • Ability to generate financial reports and analyze financial data.
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Ability to work independently and as part of a team.
    • Prior experience in administrative or bookkeeping roles is preferred.
