We are looking for a highly motivated on-site Office Manager to join our growing team. You will be responsible for the general operation of our office, wearing a few hats to keep our office running smoothly - from assistance with administrative tasks to greeting visitors and prospective employees.
Responsibilities:
Office Staff Management: Hire, manage, and oversee the performance of the office support team, including an initial hourly receptionist.
IT and Infrastructure: Network IT management computer troubleshooting and liaison with Corp Ops and Integris - to ensure a smooth technological operation within the office.Community
Engagement: Act as coordinator and point person for local community engagement, fostering relationships that benefit the office and the community (scheduling career fairs and home show/event presence for example according to TA and SDR needs).
Building Liaison: Serve as the primary contact for the landlord and real estate management company, ensuring all facilities issues are addressed promptly and efficiently.
HR and Culture: Handle basic employee HR inquiries, foster a positive office culture, complete social media and content creation assignmentsE
xecutive Assistance: Provide executive assistance to directors and VPs, including but not limited to schedule management, travel arrangements, and meeting coordination.
Event and Logistics Management: Plan and coordinate approved department events.
Van and Fleet Management: Coordination of vehicle delivery and maintenance between vendors and Long Island staff, including traffic ticket/police and municipality interactions.
HR and Interview Coordination: Manage the interview scheduling process, ensuring a smooth and efficient experience for candidates and hiring teams.
Legal and Contractual Support: Basic paralegal and contract proficiency, in order to handle municipal/ticket issues in coordination with our compliance and legal team.
Partner Management: Maintain and enhance relationships with business partners, ensuring mutual satisfaction and fulfillment
Customer Support: Provide basic customer service for inbound inquiries that fall outside of standard channels.
