Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Responsibilities:
- Oversee day-to-day office operations and ensure efficient workflow
- Manage office budget, including tracking expenses and preparing financial reports
- Coordinate and schedule meetings, appointments, and travel arrangements
- Maintain office supplies inventory and place orders as needed
- Handle incoming and outgoing correspondence, including mail and email
- Manage vendor relationships and negotiate contracts
- Maintain confidentiality of sensitive information and documents
- Assist with human resources tasks, such as onboarding new employees and managing employee records
- Perform clerical duties, such as filing, photocopying, and scanning documents
- Ensure office policies and procedures are followed
- Provide excellent phone etiquette and handle phone systems effectively
Experience:
- Proven experience in office management or a similar role
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Proficient in budgeting and financial management
- Excellent communication skills, both written and verbal
- Knowledge of human resources practices and procedures
- Familiarity with clerical duties and office equipment operation
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience in vendor management is a plus
