Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions.     Day & Zimmermann is actively accepting applications for a Full time Office Manager in Richland, Washington.
    Preferred candidates would live locally to Richland for this On-Site position.

    Office Manager is responsible for various field-based transactional accounting functions including onboarding, timekeeping, payroll processing support, billing, and accounts receivable resolution, along with other associated internal and customer reporting and office administration activities. Additional duties include union payroll / fringe benefit support, site access coordination, fatigue management, and project controls.

    As the Office Manager here’s the work you will do:

    • Responsible for and coordinates time entry including balancing and reconciliation of daily or weekly time sheets to accountability program and SAP calculations and processing. Duties include collecting time submitted for employees and reviewing for accuracy and approval. Responsible for accuracy and balancing of time entry input. Where applicable, validate data against client database. Support accountability process through operations of Time Trak software or administration of manual accountability process.
    • Responsible for submission of payroll to Corporate. Print, verify and distribute all payroll checks. Support and review per diem documentation and compliance as required.????
    • Performs and coordinates employee setup and terminations, onboarding and support functions, including all hiring information, W4's, and direct deposits for craft and temporary staff employees. Maintain and update union rates, and process on demand layoff checks. Responsible for accurate daily and periodic reporting, including but not limited to force reports, labor hours reports, attendance reporting. Responsible for processing I9s for E-verify and other compliance reporting.
    • Responsible for client invoicing. Prepare client invoice and review final billing for accuracy and process corrections as needed. Manage and update billing rates, ensuring accuracy and approvals are in place. Monitor and process unbilled inventory in SAP. Submit finalized billing to BSO billing department, and generate finalized invoices in SAP or other reporting tools, as required. Submit invoices to customer, including all required backup and authorizations. Use of customer VMS for submission as required. Responsible for accounts receivable compliance including monitoring, statusing, and working with client representatives to resolve open items, and escalating unresolved issues to leadership as needed
    • Establishes and maintains site specific procedures related to these functions. Interfaces with Corporate Accounting to ensure control and integrity of transactional field accounting and administrative processes. Continuously work with operations leaders to ensure contractual compliances to terms and conditions. Oversees Time Keepers with various day-to-day responsibilities, if appropriate. Ensures project files are maintained according to client and D&Z retention control and audit procedures. Assist in client, company, and other outside audits as needed. Other duties as assigned by Director, Field Accounting Services.
    • Manage fatigue Management system to ensure all employees are in compliance with work hour restriction policies. Management of all work packages, ensuring all documents are updated, knowledge in hard copy and electronic packages
    • Authorize access of union craft and staff employee though background investigation according to hire process and Nuclear Regulatory Commission guidelines. Review criminal, credit and employment history, utilizing discretion of further investigation when necessary

    This role is for you if you have these skills:
    • Use SAP, Microsoft Office, and internal corporate applications such as Connex, eOnboarding, TempHelp, TimeTrak, Maximo and others as required. Duties include advanced computer skills and problem solving. Advanced skills in Excel may be required, including tables, pivot tables, sorts, and presentation of data.
    • Demonstrated leadership and supervisory skills. Ability to communicate and collaborate with multiple departments, establishing strong relationships with internal staff and client staff.
    • Knowledge of general accounting functions. Ability to apply concrete financial analysis concepts beyond simple adherence to detailed procedures and instructions, recommending solutions to unique issues.
    • Awareness of of transactional accounting and cost control principles. Overall understanding of payroll, billing, contract set-up and compliance, including A/R, A/P and fringe processes is required.
    • Highly organized with the ability to effectively and efficiently multi-task with strong detail orientation and with the ability to work well under pressure to meet deadlines. Advanced proficiency using Microsoft suite and knowledge of SAP or other ERP system preferred.???

    In compliance with this state’s pay transparency laws, the salary range for this role is $60,000 - $ 104,000. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
