Responsibilities:
Answer incoming calls and emails in a professional and courteous manner, directing inquiries to the appropriate person or department.
Communicate effectively with case managers, caregivers, and participants to schedule appointments, confirm shifts, and address any concerns or questions.
Maintain and update hiring inventory, ensuring all necessary supplies and equipment are stocked and readily available for caregivers.
Keep participant and caregiver board updated with current schedules, contact information, and important updates.
Assist with filing and organizing paperwork, including participant records, caregiver documentation, and administrative files.
Coordinate with the HR department to process new hires, complete background checks, and ensure compliance with company policies and procedures.
Prepare and distribute reports, memos, and correspondence as needed.
Collaborate with team members to ensure efficient office operations and support a positive work environment.
Provide administrative support to the management team, including scheduling meetings, taking minutes, and handling confidential information with discretion.
Perform general office tasks such as photocopying, scanning, mailing, and maintaining office cleanliness.
Qualifications:
High school diploma or equivalent; additional certification in office administration or related field is a plus.
Previous experience in an administrative role, preferably in a healthcare or home care setting.
Strong communication skills, both verbal and written, with the ability to interact professionally with diverse groups.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office equipment (e.g., printers, scanners).
Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
