Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. Hale Akua Garden Farm & Eco-Retreat Center is a gorgeous eco-retreat center and certified organic farm, overlooking 30 miles of untouched Maui coastline. It is located in the pristine valley of Huelo, just outside of Haiku.
We host individuals, families, couples and small groups who come to unwind and reconnect with their deeper selves. Hale Akua is also a large retreat venue supplier where retreat leaders from all over the world come to host their retreat. The property features an organic farm which draws interest and guests to our property.
This is an office position in guest services and includes phone, email, and in-person handling of clients, vendors, and staff persons. You will assist other office personnel with bookings made through Airbnb, VRBO, and a web-based retreat booking program. You will also be working with current and potential retreat leaders taking them on tours of the property, and assist in creating booking packages for their participants. You will be responsible for personnel time keeping and submission for payroll. You will be working with an accountant preparing invoices for payment. You will be welcoming registered guests and giving short tours of the property. As your experience with our office grows, more responsibilities will be offered. In hiring for this position, we are seeking to ensure that the retreat center functions well with an excellent guest experience. All employees must have their own car with a current safety check and a current driver's license.
Hours for this full-time job are Monday-Friday 9am-5pm. Hours and even occasional days may vary to accommodate events on the property. The job starts out as a training position, where you will work with the other staff, and will eventually graduate to being a fully active member of our team.
We would like someone who has had experience with taking at least some retreat, and as a result, has some understanding of the kind of people who come to retreats.
We would also like someone who is interested in training in Compassionate Communication (NVC), a system of communication developed by Marshall Rosenberg PhD. (cnvc.org). Basic training in this style is offered from time to time and is important to participate in.
