Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. Description
In our busy office, the Office Assistant fulfills a very important supporting role.
This position works in our Camps office and therefore has a very seasonal cycle. October to May are pretty quiet on the property but the office stays busy with a wide range of administrative tasks to be achieved year round. These tasks include:
Manage registration of our campers through our "Campminder" registration system (training provided.)
Maintain contact with our families via phone, email. correspondence (including birthday postcards,) and via the website.
Review and update a wide variety of seasonal information documents for our camp families.
Organize and process forms and paperwork that are collected from camper families, including essential health information.
Order and maintain inventory of a wide range of supplies.
Work with Directors to ensure camp enrollment is managed efficiently with the best use of our staffing and resources..
From May to September our office is much busier and the tasks under each of the areas above generally increases, as do the number of office staff available to complete the tasks.
Requirements
We are looking for someone who is detail-oriented, likes keeping things organized, is friendly and patient with our families, is flexible to do needed tasks, and available to work Sundays in the summer June 1st to late August.
Must be able to speak, read, write, and comprehend English.
Will be required to move, push, pull, and carry items weighing up to 30lbs in and around the office.
Must be able to traverse across a variety of indoor and outdoor surfaces (wood, tile, dirt, concrete, stairs, etc.) i order to communicate with campers and staff, deliver forms and paperwork to various locations round the property, and deliver and retrieve mail from the mailbox.
Have the he ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
The ability to observe details at close range .
The work environment is up to 90%-95% office based, 5-10% out on the camp property.
The indoor climate is not controlled but we are in a very temperate climate.
Multiple hours each day will be spent sitting or standing at a desk in a work area with no direct sunlight. Regular moments to walk outside for fresh air are available and encouraged.
