Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     REPORTS TO: Practice Manager

    LOCATION: Mercy Oncology Services at Mercy Medical Center

    SUMMARY: Performs various office and clinical duties to keep the practice running efficiently. The Medical Assistant Float will work directly with healthcare practice staff to assure each patient is provided timely and effective care. The MA Float may be assigned to different roles daily as needed.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: The following description of the job responsibilities and standards are intended to reflect the significant responsibilities and duties the job, but is not intended to describe duties and/or other responsibilities as may be assigned from time to time according to skill set.

    A. Clinical Duties

    • Show patient to exam room.
    • Record patient vital signs –height, weight, and temperature, allergies and pain scale
    • Review and prepare patient medication list for physician review.
    • Clean and prepare exam rooms prior to patient appointments.
    • Stock exam rooms daily.

    B. Administrative Duties

    • Update and maintain all patient records and assist in transitioning hard copy records to digital format.
    • Refill all medications
    • Obtain prior authorizations for medications, blood work and diagnostic procedures.
    • Schedule appointments and diagnostic procedures.
    • Process incoming and outcoming referrals.
    • Answer incoming calls and facilitate doctor to doctor phone calls.
    • If appropriate, triage and follow up with patient phone calls.
    • Monitor and sort provider in boxes and outboxes.
    • Complete forms as directed.
    • Monitor and adjust physicians' schedules.
    • Check patients in and out.
    • Performs additional duties as required.

    • Maintains confidentiality in matters relating to all aspects of employment, including patient/family/significant other confidentiality.
    • Interacts with patients/family/significant others with a variety of developmental and sociocultural backgrounds in appropriate manner.
    • Provides information to patients and family/significant others that reduces anxiety and conveys an attitude of acceptance, sensitivity and caring.
    • Maintains professional relationships and conveys relevant information to other members of the health care team.
    • Will be proficient on the electronic medical records system and accurately and completely document patient information utilizing the system as needed.

    EDUCATION/QUALIFICATIONS:

    • Associate's Degree or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
    • Minimum two years of experience in medical office setting.
    • Must possess good judgment and knowledge of related operations. Must possess good interpersonal skills necessary to deal courteously with patients, physicians, visitors and callers. Must possess excellent oral and written communication skills.

    PHYSICAL AND MENTAL REQUIREMENTS OF JOB: Intermittent walking. Can be stressful. Position requires ability to frequently lift light objects less than 20 lbs., perform moderately difficult manipulative and hand-eye coordination skills; walk, stand and sit for prolonged periods; see objects closely and far away and hear normal sounds with some background noises. Position requires ability to concentrate on fine detail with interruption and attend to tasks for more than 60 minutes at a time. Individual must be able to understand and relate to theories behind several related concepts and remember multiple tasks given over long periods of time.

    WORKING CONDITIONS: Active and frequently stressful work environment with above average office noise. Medical office environment. Employee may frequently be exposed to seasonal conditions in outside weather. May be exposed to blood, body tissues or fluids.

    Pay: From $18.00 per hour
