OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions.     • Oversee new hire onboarding and training.
    • Conduct regular inspections and drills, ensuring proper documentation and filing.
    • Coordinate and document staff meetings and trainings.
    • Assist professional staff with insurance-related tasks.
    • Manage client referrals and scheduling of assessments.
    • Handle insurance verification and authorizations.
    • Oversee time sheets for office staff and liaise with Payroll Manager.
    • Maintain client charts and office supplies.
    • Adhere to all safety rules and complete annual training.
    • Perform other duties as assigned.

    Qualifications

    • High School diploma or higher.
    • Proficiency in computer usage and data entry.
    • Excellent written and verbal communication skills.
    • Experience in Mental Health field is preferred but not required.
    • Strong interest in the health and welfare of others, particularly individuals with mental disabilities.
    • Exceptional organizational skills and time management abilities.
