OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     JOB DUTIES AND RESPONSIBILITIES

    • Experience with medical office outpatient environment
    • Professionally greet and assist clients, and visitors when they arrive at the office
    • Answering and directing phone calls and schedule client appointments
    • Contacting clients to confirm appointments 24 -48 hrs. in advance
    • Screening for insurance coverage and contact insurance companies to confirm benefits
    • Updating and maintaining client and insurance databases
    • Follow office workflow procedures to ensure maximum efficiency
    • Maintain files and records with effective filing systems
    • Photocopying, scanning and faxing
    • Monitor office expenditures and handle all office contracts
    • Familiarity and use with Electronic Health Record for scheduling client appointments
    • Maintaining office equipment as needed, and monitor office supplies inventory and place orders
    • Helping organize and maintain office common areas.
    • Performing general office clerk duties and errands.
    • Organizing travel by booking accommodations and reservations needs as required.
    • Coordinating events as necessary.
    • Research and developing outreach lists
    • Create and develop marketing material for workshops, presentations etc.
    • Maintaining and monitoring social media
    • Reconciling petty cash
    • Experience with billing and insurance companies
    • Troubleshooting and problem solving

    EDUCATION AND EXPERIENCE

    • Relevant office work experience
    • Efficient and knowledgeable of relevant software applications including MS Office
    • Experience in customer service
    • Knowledge and understanding medical billing and insurance companies
    • Excellent communication written and verbal along with good interpersonal skills
    • Organized with the ability to prioritize and multi-task
    • Reliable with patience and professionalism
    • Some experience in the medical service industry; medical billing and insurance providers
