OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions.     Overview:

    We are seeking an experienced and highly organized Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the daily operations of our office and ensuring its smooth functioning. This is a key role that requires strong organizational skills, excellent communication abilities, and the ability to multitask effectively.     Responsibilities
    - Manage the office calendar and staff schedule including time off and vacations
    - Oversee purchasing of office supplies and services
    - Handle financial tasks such as budgeting, invoicing, expense tracking and payroll using QuickBooks
    - Maintain office records and files in an organized manner
    - Assist with human resources tasks such as hiring, employee onboarding and offboarding, employee relations, and employee conflict management
    - Answer phone calls, respond to emails, and provide excellent customer service
    -Manage various Electronic Management Systems utilized in the office, Athena, Open Dental, -Crexendo, Canva and assist with training staff as needed

    -Oversee staff meetings and hospitality activities for staff

    -Manage marketing including social media, advertising in various local publications and print materials

    Experience:

    - Proven experience in office management or a similar role

    - Strong organizational skills with the ability to prioritize tasks effectively

    - Excellent communication skills, both written and verbal

    - Proficient in using office software (e.g., Microsoft Office Suite, Quickbooks)

    - Experience in supervising a team and managing employee performance

    - Knowledge of human resources processes and regulations is preferred

    - Previous experience in medical management is a plus
