OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions.     Position Summary

    This position provides administrative and clerical support for the Food Services department. This entails creating and distributing client invoices, maintaining client deposits and payments, processing daily sales and bank deposits, and authorizing accounts payable for both the Hagerty Center and Hawk Owl Café.

    Qualifications

    • Associate's degree (Required)
    • Minimum of 1 year experience with Excel and Word (Required)
    • Minimum of 2 years of customer service experience (Required)
    • Minimum of 2 years' office experience (Required)
    • 2 years of accounting experience (Preferred)
    • Associate's degree in a business field (Preferred)
    • Experience and skills in databases, and CRM software programs (Preferred)
    • Experience in coordinating office tasks and managing multiple projects simultaneously (Preferred)
    • Experience with Hospitality Industry (Preferred)

    Essential Responsibilities

    • (Critical) Conducts internal auditing to help assure records are accurately maintained and the established policies and procedures are followed.
    • (Critical) Processes daily sales and accounts payable for Hagerty Center and Hawk Owl Café.
    • (Critical) Audits all internal & external cash and charge expenditures.
    • (Critical) Oversees client billing and collection procedures with NMC business office and monitors collection of past due accounts with NMC business office and advises Director when difficult situations may arise.
    • (Critical) Performs general office and clerical tasks to assist the Director and other professional staff.
    • (Critical) Assists with entering, contracting and monitoring events in R25 and event temple scheduling programs.
    • (Critical) Manages cash flows and establishes controls to safeguard funds.
    • (Critical) Coordinates catering for Hawk owl Café and assists with setup as needed.
    • (Very Important) Assists with day to day operations in the Hawk Owl Café as needed.
    • (Very Important) Assists with event coordination at the Hagerty Center as needed.
    • (Very Important) Receives clients, guest and students when appropriate.
    • (Very Important) Helps to schedule appointments for professional staff.
    • (Very Important) Performs other duties as assigned.
