    Office Manager

    FSI would like to hire an Office Manager to join our team.

    Job Summary

    Directly manage and oversee a work control team responsible for executing tasks within the Defense Medical Logistics Standard Support System (DMLSS) framework, specifically the facilities management modules of the system.  The ideal candidate will have a strong background in overseeing work control and work order dispatch teams within a facilities operations and maintenance healthcare contract environment.  Coordinates management efforts with the Contract Maintenance Manager, O&M Manager, QC Manager, Safety Manager, HR Manager, and Shop Leads. Ensure contract compliance by monitoring preventive maintenance, corrective maintenance, and mandated response times according to contractual obligations.  Communicates with shop leads and other management when areas of concern are identified. Assist the CMM and O&M Manager by providing required reports (daily, weekly, monthly, annual) for management and the Shop Leads to include overseeing appropriate QC/Safety reports. Track completion rates of maintenance tasks and other activities, communicating progress and challenges to relevant stakeholders, including government personnel.  Coordinate with government representatives and other stakeholders to ensure seamless communication and collaboration in meeting contractual requirements.  Streamlining and improving administrative roles, such as Work Control best practices, QC’s reporting, Safety reporting, and Supply reporting.  Provide leadership and guidance to the work control team, fostering a culture of accountability, professionalism, and continuous improvement.  Identify areas for process improvement and implement strategies to enhance overall efficiency and effectiveness.  Support IT requirements including phase-in and phase-out of IT equipment for new hires and terminations. Any additional duties as assigned by ROM, CMM, O&M Manager and/or Corporate Office. Reports directly to the CMM.

    Experience

    In-depth knowledge of the Defense Medical Logistics Standard Support System (DMLSS) and its application within healthcare facilities.  Proven experience in overseeing work control and work order dispatch teams in a healthcare facilities operations and maintenance setting.  The Office Manager will also have or gain proficiency in Maximo, MS Office and other required software that is used at the job site. The Office Manager will be technically qualified in the field of operations and management and should have, as a minimum, two years’ experience in O&M to include coordinating with a work force that is responsible for maintenance and repair of all facility systems, subsystems, and selected equipment typically found in a hospital operations contract.  Ability to thrive in a fast-paced environment and manage multiple priorities simultaneously.  Excellent communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels of the organization.  Ability to read, analyze, and interpret preventive maintenance procedures, and corrective maintenance repair requests to ensure work orders are dispatched to appropriate shop leads.  Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, technicians, government personnel, clinical staff, and the general public.

In an 8-hour day, must be able to continually bend, squat, kneel, lift, twist, climb, reach, stand and walk; to use hands for repetitive pushing, pulling, and single grasp motion; and to frequently lift and carry objects weighing up to 10 pounds and to move objects in excess of 50 pounds as needed.

    Additional Requirements

    Must possess a valid state driver’s license and insurable driving record. Must be able to read, write, speak, and understand English.  Must be able to pass a company drug screen and background check. Must possess or be able to obtain a CAC card (Common Access Card)
