OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions.   • Position Summary

    Gill St. Bernard’s School invites applications for an Office Manager of Advancement Services. This position is a full-time, 12-month position reporting to the Director of Advancement. The successful candidate will model GSB’s core values of compassion, excellence, integrity, respect, and courage.

    The Office Manager of Advancement Services is an integral member of the overall fundraising team and program for Gill St. Bernard’s, providing vital support, including operational, capital and endowment for the school. The Office Manager of Advancement Services must be able to work independently and as a team member, prioritizing work and managing multiple tasks while maintaining a positive attitude. As GSB builds momentum towards its 125th anniversary in 2025, the Manager will support the Advancement Office in the following ways:

    ADVANCEMENT SERVICES RESPONSIBILITIES:

    • Enter all gifts into Raiser’s Edge in a timely manner. This includes gifts of cash, checks, stock, online gifts, gifts-in-kind, wire transfers, ACH, and recurring gifts.
    • Prepare all stewardship letters for signature.
    • Process all recurring gifts and prepare reminders to donors.
    • Enter pledges into Raiser’s Edge, prepare pledge forms, track payments, prepare reminder letters for signature.
    • Obtain necessary documentation for all gifts-in-kind. Enter gifts-in-kind in Raiser’s Edge and maintain files.
    • Enter all staff gifts made through payroll deductions. Enter the initial batch from the Business Office in September, then again on December 31 and June 30. Process batch gifts and prepare acknowledgements.
    • Assist staff members with and lists and report generation from Raiser’s Edge, including parents,
    • past parents, Grandparents, alumni, faculty & staff, and friends.
    • Upon receipt of email notification of gifts online, log into Boost My School, and enter and process all gifts.
    • Prepare weekly “Call Sheets” of gifts and distribute to Advancement staff to make thank-you calls.
    • Prepare Dashboards, using Raiser’s Edge and Excell for meetings such as, Board meetings, Advancement Committee meetings, and Finance Committee meetings.
    • Prepare mailing lists for GSB Magazine, Holiday cards, solicitation mailings.
    • Assist in record keeping for the Committee on Trustees, i.e., names to consider and term limits. Ensure documentation is updated as necessary for the Founders’ Society.
    • Assist with the preparation of events and attend events when needed.
    • Execute the conversion of Raiser’s Edge for the new fiscal year, including incoming students and attrition.

    OFFICE MANAGER RESPONSIBILITIES:

    • Maintain calendar for the Advancement Office.
    • Manage school’s supply of departing gifts for trustees, administrators, and staff, as deemed by Head of School.
    • Manage stationery inventory, including envelopes, return envelopes and order through the Business Office.
    • Serve as Office point person for mail distribution, office, and kitchen supplies. Process accounts payable through Paymerang and paid time off through PayCom.

    QUALIFICATIONS:

    • Bachelor’s degree desired.
    • Proficiency with Raiser’s Edge software and reporting.
    • Strong interpersonal and relationship-building skills
    • Excellent writing skills.
