OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required. Junior Administrative Assistant / Office Manager

  • Position Summary

    Guggenheim Investments is seeking an Administrative Assistant & Office Manager to join the office of the Co-Presidents. Reporting to the Senior Administrative Manager, this person will join a collaborative and fast paced team responsible for day to day office and administrative support. In addition to strong organizational skills, the ideal candidate will demonstrate the ability to multi-task and prioritize. The successful candidate will have experience with all aspects of administrative support and be comfortable interacting with senior staff, as well as external clients, in an ever-changing environment.

     

    The position is located in our Darien, CT office and may require occasional travel to the New York City office.

    Essential Job Functions

    • Manage the primary day-to-day responsibilities of Reception in CT office
    • Manage all personal travel arrangements: itinerary/trip file; apprise other staff as necessary; coordinate hotels/meetings/meals, booking conference rooms and offices while travelling
    • Process expenses for Dina DiLorenzo
    • Answer multiple telephone lines for Co-President and team in the Darien office; able to professionally relay appropriate information to callers as directed, route calls to other persons as necessary, and ensure that messages are received and conveyed promptly
    • Manage clerical and organizational related matters including coordinating calls and meetings, maintaining office organization, arranging travel and entertainment, and processing invoices and expense reports
    • Mindful of deadlines on incoming requests and take action or ask for direction as needed
    • Order, stock and maintain all pantry snacks, beverages, machines, and storage closets
    • Order, prepare, and clean up catering as necessary for client meetings
    • Order, track, and confirm receipt of messenger services and other mailings
    • Maintain the appearance of the reception area, executive office, conference rooms, and pantry
    • Attend to guests including offering proper directions to site, procuring guest badges if needed, administrative support, planning for AV requirements, greeting and offering refreshments
    • Monitor costs for transportation to ensure quotes and charges match up
    • Maintain Holiday Card list
    • Set up Zoom calls as needed
    • Complete personal and special assignments for President as needed

    Basic Qualifications

    • 1 years experience in an administrative support function in a similar environment• Confidence and excellent communication skills required to interact well with clients and senior management• Ability to work within a team to resolve issues with minimal disruption to office operations• Ability to be successful in a stressful, deadline driven environment while maintaining a strict attention to detail and prioritizing issues appropriately• Ability to travel as needed and to be on call during off hours, including nights/weekends• Reliability and dedication; a hands-on professional with a can-do attitude and willingness to perform a multitude of responsibilities as needed
