      VACANCY: The Valley View Public School District is seeking an individual to fill a full-time, Professional Office Personnel (200 Days) position for the 2022/2023 school year in the Student Services Department at the Beverly Skoff Elementary School.

      JOB SUMMARY:
      The Professional Secretary reports to the Assistant Principal. The Professional Secretary assigned to the Student Services Department is responsible for providing administrative support and routine clerical functions such as handling information requests, preparing correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, receiving visitors, scheduling meetings and providing information to callers.

      ESSENTIAL FUNCTIONS:
      • Perform general clerical duties such as answering phones, greeting visitors and performing Raptor duties, scheduling meetings, sorting and distributing U.S. and inter-district mail, typing correspondence, filing and records management, preparing and initiating Parentlink calls, completing data entry, participating in emergency drills, attending district meetings, distributing supplies, and preparing/distributing parent event flyers.
      • Support the building administrator with student scheduling, entering data and running reports. Must have knowledge of courses, codes and maximum number of students per class. These duties include continuous scheduling of new students and class changes throughout the year, as requested by the administrator(s).
      • Act as building registrar by welcoming/scheduling new students and maintaining current class lists. Duties include determining class placement, requesting and forwarding records, creating cumulative, health and literacy files, maintaining cumulative file, complete entry of daily add and drops and scheduling students for testing as needed.
      • Support the building Assistant Principal/SRT Leader by updating and working with appropriate computer program designed for scheduling meetings, creating and maintaining temporary special education student files, forwarding appropriate information/paperwork to the District Student Services department and processing out of district requests for special education records.
      • Manage daily student attendance tasks such as monitoring the automated attendance line, answering phones, inputting absences into appropriate system and ensuring accuracy, issuing tardy slips, generating Parentlink calls and running tardy, truancy and quarterly attendance reports.
      • Enter student referrals, suspensions, and detentions into appropriate database.
      • Maintain annual book inventory which includes counting textbooks, documenting and collaborating with other buildings as needed.
      • Coordinate testing materials.
      • Update and maintain student transportation lists and solving problems, as needed. Pre-K Secretary will also create and initiate the pickup and drop off schedule in coordination with transportation.
      • Provide assistance with major student events throughout the school year which include, assisting the administrator and executive secretary in scheduling rooms, preparing certificates, ordering awards, organizing events/picture days, creating and typing of programs, and inviting parents.
      • Process requests for building usage.
      • Act as back-up employee attendance operator for the building, as assigned.
      • Assist with interpreting parent phone calls, meetings and/or translating written communication, if applicable.
      • Attend evening events including but not limited to: open house and parent/teacher conferences, as requested.
      • Serve as a role model for all students and perform their duties to create an environment that is conducive to providing students an enhanced and engaged learning opportunity.
      • Perform other duties as assigned.

      QUALIFICATIONS/SKILLS:
      • Minimum of high school diploma or G.E.D. equivalent.
      • Some college, preferred.
      • Minimum of 2 years or more of secretarial experience, preferred.
      • Must possess proficient typing, grammar and computer skills including all Microsoft Office and Google products.
      • Knowledge and experience with office equipment to include, but not limited to, copiers, fax machines, printers, computers, phone systems.
      • Must possess excellent organizational skills.
      • Must possess the ability to communicate effectively in person, in writing and on the phone.
      • Must be proficient in general clerical tasks.
      • Must possess mature judgment when handling confidential information.
      • Must possess the ability to perform and complete assigned tasks.
      • Must demonstrate a high level of confidentiality.
      • Must be able to handle stressful situations with professionalism.
      • Ability to work collaboratively with administration, staff and stakeholders

      WORKING CONDITIONS: The work year for this position is 200 days. The salary is paid in accordance with the current office personnel salary schedule. The district offers excellent fringe benefits including life, health and dental insurance.
