Office Services Professional performs and oversees various administrative functions and processes and acts as the organization's point person for outside vendors and service providers. Plans and coordinates office-wide facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Professional monitors inventory and places orders for office equipment, supplies, or provisions. Manages or administers accounting processes including budgeting, invoice processing, employee expense reports, reimbursements, petty cash, and time tracking. Additionally, Office Services Professional may support HR activities or initiatives with employee onboarding and interview coordination, and training. Performs company database or system administration tasks, including data input, reporting, user support, and upgrades. Resolves day-to-day problems and coordinates with stakeholders to obtain solutions. Requires a bachelor's degree. Typically reports to a supervisor or manager. The Office Services Professional work is closely managed. Works on projects/matters of limited complexity in a support role.     Administrative Assistant - Student Services

     

    POSITION PURPOSE:  To provide support for the administrative functions related to the provision of educational services to students with disabilities within the programs and member schools/districts affiliated with the special education cooperative.

                                           

    ESSENTIAL FUNCTIONS:

    • Processes all telephone, written and electronic communications. Directs calls/communications to appropriate personnel
    • Maintains a filing system for correspondence, financial records, reports, confidential files and other documents as assigned
    • Attends meetings, trainings, in-services, etc. for the purpose of maintaining skills, receiving information on new/improved procedures, as well as complying with District requirements.
    • Researches and summarizes information and supporting data preparation for meetings
    • Assists in processing financial data related to grant management
    • Assists in managing child count data
    • Assists in reviewing IEP’s for accuracy.
    • Excellent organization skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes
    • Knowledge of office equipment including personal computer, laptop, a variety of software, e-mail management, data base management, Excel financial management, fax, phone system, and copiers
    • Ability to build rapport, possess interpersonal communication skills with others, staff members and patrons, friendly & helpful disposition
    • Communicates with a variety of persons/agencies (eg. Other schools/districts, psychologists, staff, parents, etc.) for the purpose of meeting program requirements in compliance with established guidelines and gathering and/or providing information.
    • Ability to work accurately and maintain confidentiality in all school matters
    • Performs other duties as assigned

     

    REQUIREMENTS: 

    • Must be at least 18 years of age
    • High school diploma or GED

     

    QUALIFICATIONS: 

    • Bilingual skills preferred
    • Strong oral and written communication skills
    • Highly motivated, self-starter who will assume initiative and responsibility for projects
    • Hard-worker, conscientious, person of high integrity
    • Expert computer knowledge and skills
    • Collaborates and communicates well with others
    • Meets deadlines
    • Highly organized with good-follow up abilities, multi-task ability needed
    • Experience preferred

     

    WORK CALENDAR:  52 weeks; 40 hours per week; Daily Hours 7:30am - 4:00pm

     

    SALARY:  $15.00-$17.40, rate is dependent upon education and/or experience. (Schedule #20-1)
