Office Services Supervisor oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Implements procedures and policies for all administrative activities. Being an Office Services Supervisor typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Essential Duties and Responsibilities:
• Adhere to and enforce all Park and Department policies and procedures.
• Maintain high standards of quality, professionalism and uphold confidentiality.
• Strong communication skills used for answering and making phone calls, radio pages, e-mails, and face to face interactions
• Assisting the operational team by being a communication hub of park knowledge to assist the team in the field with answers to any questions they may have.
• Utilize multiple computer software programs to complete tasks given by Full Time.
• Ability to have effective time management skills in completing tasks.
• Maintaining the tracking of department labor through creating staffing sheets daily, checking constantly throughout the day for team members clocking-in, and communicating quickly to operational management if they do not.
• Monitoring the Employee Attendance System, assisting team members with errors, and ensure that the team members are clocking out for their breaks within the guidelines of the department and park policies.
• Maintaining correct and organized records- logging, communicating, and filing information.
• Tracking the use of park property in regards to radios and keys for department seasonal management.
• Assist the division’s management and HR with Attendance Policy documentation. Track attendance for all IPS team members (Food and Beverage Operations, Retail, and Attractions).
• Submit orders in a timely manner from management to the warehouse team to ensure quick delivery.
• Assist with retail transfers to ensure accurate inventory throughout the season.
• Able to follow direction from multiple members of management.
• Monitors paperwork for all departments that are issued on a daily and weekly basis.
• Maintain a safe and clean work environment at all times by keeping it organized.
• Reports to IPS Office Supervisors & Full-Time Supervisor
• Any and all other duties as assigned
